We are looking for a proactive and highly organized Assistant to support the General Manager in running our premium flexible office space. The client offers hot desk subscriptions, permanent offices, and dedicated desks on flexible terms., we need an enthusiastic individual who can help ensure our members receive an exceptional experience.
Hours:
Monday - Friday (9:00am - 5:30pm)
Salary:
£28,000 - £30,000 depending on experience.
Key Responsibilities:
The primary responsibility is to deliver exceptional customer experience and support the General Manager to deliver operational excellence keeping the centre safe and compliant.
Community & Member Support
- Act as a welcoming presence at reception, greeting members and visitors with professionalism and warmth.
- Assist in managing member enquiries and subscriptions, ensuring smooth onboarding and renewals.
- Support the planning and execution of networking and social events to foster a vibrant coworking community.
- Help maintain a positive and collaborative atmosphere by addressing member needs and concerns efficiently.
- Build relationships with customers through regular communication to ensure capture of any upselling opportunities.
Operations & Facilities Management
- Ensure the workspace remains clean, well-presented, and fully operational.
- Assist in handling maintenance issues and liaise with service providers for prompt resolutions.
- Support health and safety compliance checks and reporting to the General Manager.
- Collaborate with the onsite café team to enhance cross-business opportunities.
- Conduct pre-event inspections of all meeting rooms and show offices prior to a customer viewing or meeting room booking.
- Oversee customer move ins smoothly and in line with customer requirements.
- Conduct centre viewings in line with the sales process
- Ad hoc duties as and when required by the General Manager
Marketing & Administration
- Manage social media and enquiry platforms to drive engagement and new member interest.
- Assist in workspace tours for prospective members and maintain up-to-date occupancy records.
- Track and follow up on outstanding member payments where necessary.
- Provide general administrative support to the General Manager, including reporting and day-to-day operational tasks.
What We're Looking For:
- A friendly, outgoing personality with a passion for customer service and community building.
- At least 2 years of experience in a customer-facing or administrative role, ideally in hospitality, coworking, or office management.
- Strong organizational skills with an eye for detail and the ability to multitask effectively.
- Excellent communication skills, both written and verbal.
- Comfortable with social media management and basic marketing tasks.
- Confident user of Microsoft office 365 (Word, Excel and Outlook)
- A flexible and proactive approach to problem-solving.
