Area Operations Manager

Our client is a serviced office provider with high-end locations around Prime Central London. Position: Area Operations Manager
Reporting to: Head of Operations
Location: City of London
Salary: £50,000
Working Days / Hours: Monday to Friday - 8:30am to 5:30pm or 9:00am to 6:00pm
Key Responsibilities
- Client happiness
- Establish and ensure that strong client relationships are built within our clients centres and our clients teams to learn about their ongoing needs to achieve client satisfaction and high retention rates.
- Deal with escalated client queries and take action in a timely fashion, providing support to your centre management team when required.
- Work closely with the New Business team to oversee and support your centre management team with client moving in, out, and around our client's buildings.
- Team management
- General day-to-day management of your centre management team, delegating duties and tasks where necessary.
- Regular site visits to centres within the business to ensure standards remain high and business expectations are met.
- Identify and implement training where necessary within the Centre Management, to ensure continual professional development for your team members.
- Assist your centre management team with constructive appraisal preparations for the team.
- Lead appraisal sessions with the Managers you line manage.
- Create and maintain a professional and positive culture amongst all staff, leading from the front and being representative of the brand.
- Responsible for leading or supporting the onboarding of all new joiners effectively, ensuring they have full training and the tools to be successful in their role.
- Working closely with Human Resources and Operations Management team to ensure grievances are handled correctly.
- Ensure that there is clear communication between the centre teams and the supporting business functions to resolve client queries in a timely manner.
- Building management
- Support and mentor your centre management team to ensure all our client's processes are followed.
- In the absence of a Centre Manager, find suitable cover or base yourself at the centre to provide daily support and ensure standards are maintained.
- Oversee ongoing monitoring of CCTV and intruder alarm systems to ensure the centre teams manage these correctly.
- Expertise in SALTO systems and ensuring the whole centre team is aware of how to use the system to support our client.
- Ensuring all site inventories are updated monthly.
- Supervise facility management of our client's buildings, including PPM and Statutory testing.
- Provide reports on building facilities maintenance to the senior management team.
- Review, train, and implement health and safety regulations where necessary.
- Carry out regular building inspections to maintain expected standards.
- Accounting
- Support the centre teams in preparing the billing for client invoices three times a month and carrying out this process in the absence of a Centre Manager.
- Support the centre teams in ensuring that all additional service charges are included for invoicing and show on the monthly income reports.
- Authorise and manage company orders, including raising POs and approving invoices to ensure budget control.
- Credit control - Supporting your centre team to follow up on all outstanding debt.
- IT and telecoms systems
- Become an expert with the call logging system and telephone programming, patching, and activation.
- Confident with the setup of LAN and IT to assist clients.
- Responsible for providing training in the above areas for new joiners and refresher sessions.
- Conference and meeting rooms
- Strong understanding of conference room technology, including troubleshooting and resolving AV issues.
- Ensure the centre teams are trained on the conference room technology within all of our client's buildings.
- Ensure the team is delivering 5-star services to all meeting room clients across the business.
