We are seeking someone looking to build a career within Accounts. We are seeking several Finance Assistant due to grow within this business. This role would suit someone at entry level or with a few years experience as the Accounts Assistant, you will play a vital role in ensuring the efficient operation of our department. Your responsibilities will encompass various administrative tasks, customer service, and technical functions to support our clients and maintain a high level of service excellence. The Role:
1. Administrative Support:
- Manage electronic data and emails efficiently.
- Collaborate with managers, accountants, and support staff to deliver accurate and efficient service to clients.
- Participate in internal and external training sessions to continuously improve your skills.
- Monitor bank statements for BACS receipts and perform banking tasks.
- File invoices accurately and maintain organized records.
- Send remittances to suppliers.
- Generate financial reports for clients and senior leaders.
- Attend client meetings as required, providing support for your portfolio.
- Deliver periodic reports to clients, including standard reports and additional ones as necessary.
- Maintain professional relationships with clients, ensuring excellent service.
- Raise void service charges to developers and analyze expenditure versus budget.
- Prepare end-of-year service charge accounts within agreed timelines.
2. Payment Processing:
- Handle phone payments.
- Obtain Feefo Reviews in line with company objectives.
- Distribute reports and statements to clients, leaseholders, and contractors.
- Address supplier queries related to payments and contract orders.
- Post additional charges accurately.
- Enter information into Qube with proper apportionments.
- Conduct bank reconciliations for all sub-accounts, resolving queries and adjustments.
- Provide monthly expenditure reports to property managers.
- Post invoices correctly and maintain proper records.
- Post daily receipts, including card payments, BACS, cheques, and website payments.
- Update and chase PLI for contractors.
- Maintain accurate contractor information for remittances.
- Allocate insurance payments.
- Prepare draft budgets for clients in a timely manner.
3. Tenant Adjustments:
- Process necessary adjustments in Qube.
- Handle various job-related issues, identifying and addressing problems promptly.
- Escalate urgent matters as needed and delegate work.
- Address queries from tenants, suppliers, and external agencies professionally and efficiently.
Technical Skills:
- Desire to learn and gain knowledge of property management principles and procedures.
- Work towards accounting qualifications.
- Soft skills for empathetic customer interactions.
- Proficiency in QUBE computer system.
- Competency in Windows-based spreadsheets, such as Excel.
- Strong written and verbal communication skills.

- Ability to plan and prioritize workloads, work independently, and handle pressure.
- Excellent communication skills with colleagues, customers, and suppliers.
