Our Client is currently seeking a Weekend Day Porter at a luxury residential building near Central London. Please see details below:
Overview:
The Day Porter is a role that facilitates the smooth daily running of the site, meeting and greeting all residents, visitors and contractors. The Day Porter should assist, alongside the Resident House Manager, residents with any queries, ensuring site presentation is at the required standard and keeping track of all visitors to the site. Holding keys for the communal parts of the building and for residents given prior consent. Collecting post and packages and distributing or alerting residents of them. Reporting to the Resident House Manager and the managing agents.
Job Description:
Day to day:
- The Day Porter should contact the Resident House Manager in accordance with the Absence Reporting Policy if they are unable to attend work on the morning of their absence and each day after.
- The Day Porter will be assigned a block on Monday morning to Friday for each week. This block will be the Day Porters primary responsibility however will show flexibility as per the needs of the building throughout the week.
- Report to the Building Manager all repairs and concerns as and when they arise.
- Meet and greet all residents, and assisting them if the need arises whist covering the front desk.
- Meeting all visitors and updating the log books to reflect this.
- Should any visitor require keys, you must have obtained consent to release them and you must sign the keys out of the provided key log book and obtain a contact number of the individual keys are assigned to (mobile number).
- All keys must be signed back in and then locked away.
- All keys must be tagged using a coded system and the key log book must not be stored with the keys.
- Directing contractors to the Building Manager after signing them into the building and obtaining contact information.
- Make note of any issues that you are made aware of alerting the Building Manager as soon as they arise.
- Ensuring that the front entrance and porters areas are clear, clean and tidy and carrying out any cleaning to these areas that are required on a daily basis.
- Updating the Building Manager as and when new tenants / Leaseholders move in or out.
- Monitoring the CCTV and reporting any breaches of security to the Building Manager along with any issues that are experienced with the security system.
- Receive/Give handover to Night Porter dependant on shift pattern, alerting them to all known issues with the block that have arisen during the shift.
Patrolling:
- Patrolling your designated block no less than once every two hours.
- Ensuring that all escape routes are clear and secure at all times (including fire exits)
- Ensuring that all electrical intake rooms are clear of debris and locked at all times in accordance with Health and Safety Legislation.
- Ensuing that all meter rooms are kept clear of debris and are locked at all times in accordance with Health and Safety Legislation.
Reporting:
- Accident Book - ensuring that the accident book onsite is updated at all times as and when necessary. Notifying the Building Manager when accidents occur immediately.
- Ensuing that daily check-sheets are being filled in and filed accordingly in accordance with Health and Safety procedures.
Communication:
- Answering phones - it is the company policy to answer the telephone as quickly as possible and in a professional manner at all time.
- Manage and controlling all incoming issues received to you directly - whether this be passing on a message to the Building Manager, managing agent or running with the issue should you be capable. Updating the Building Manager at all times.
Liaising with contractors:
- Liaising with contractors and residents for any required works for access (i.e. a leak).
- Ensuing that contractors sign in when arriving on site and sign out when they are leaving site.
Role Requirements:
You will need to be:
- IT literate
- Have a proven background in estate management (minimum 1 years' experience) and an all-round knowledge of the industry
- Dynamic, motivated and friendly
- Strong communicator, both verbally and written, with good use of grammar and spelling
- Strong at time keeping and time management
Training:
Training will be provided on the job internally, supplemented by external courses as required.
