JOB TITLE: Concierge

LOCATION: Lewisham

LINE MANAGER: Building Manager

AIM OF POST: To staff the main reception, monitor CCTV coverage, provide concierge duties, assist with visitor and vehicle orientation, assist in directing deliveries, provide a visible presence around the development whilst on patrol and assist residents with all concierge activities. To keep clean and free of litter all paths and roadways. In addition to provide any reasonable ad-hoc services as the occupiers may require.

MAIN DUTIES AND RESPONSIBILITIES

The following duties will be carried out; however, this list is not exhaustive as there may be other tasks which arise from time to time.

KEY RESPONSIBILITIES

  • To meet and greet the residents, answer enquiries by telephone, email or callers to the desk. Assist the residents, guests and visitors with job tasks and individual requests to be dealt with efficiently whilst maintaining reception cover.

  • To ensure that the highest levels of customer care and service is maintained at all times. Deal effectively with complaints, take the correct action and remain courteous at all times. Report all complaints to line manager.

  • Maintain a clean and smart appearance at all time, wearing a suit and tie. A jacket is not compulsory at all times but shirt should be neat, ironed and tucked in. A tie should be worn at all times as per the specified uniform requirements.

  • Ensure effective security of residents and the building at all times including manning the CCTV and aid the smooth operation of the facilities.

  • Check and screen all visitors, guests and contractors that come to the office, ensuring they have permission to be present in the building. Report any suspicious/unusual behaviour, calling the police if necessary.

  • Correct reporting of any security/health and safety issues incidents and complaints. Taking appropriate action in the event of an emergency.

  • Responsibility for all deliveries to main reception desk, receiving and safekeeping of all parcels/registered mail. Correct issuing of all parcels/registered mail with a record which must be signed by residents. Notify residents of any deliveries to arrange collection from the front desk. All events to be logged into the daily occurrence log. All parcels need to be logged and signed for along with keys in and out.

  • Issuing of keys to correct personnel/residents whilst recording at all times the signing in and out of keys.

  • Pro-actively deal with any maintenance and cleaning problems identified within the property and regularly carry out site inspections to minimize/identify any problems. This involves escorting and supervising contractors' around the communal areas of the property.

  • Ensure that there is clear and concise handover at the end of each shift, highlighting any events that have occurred and forthcoming events. Concierge should arrive 10 minutes prior to shift for a proper handover.

  • The night concierge needs to water all the plants in front of the buildings at a reasonable time during their shift.

  • Tesco trolleys have to be cleared away from all the buildings/communal areas during each shift and should be placed in the Tesco Car Park.

  • At least one full patrol of the entire building has to be done per day shift. Plant rooms should be checked two times per day shift.

  • Bin storage rooms should be checked twice on each day shift. If there is a foul smell this must be reported to the Building Manager. Litter needs to be cleared up during each day patrol. This includes outside the buildings and lobbies. Bins need to be rotated so that there are always two empty bins as you come into the bin storage room.

  • The gym needs to be checked each two hours by the day concierge and needs to be stocked at all times with Sani wipes, toilet paper and hand towel rolls. The day concierge needs to sign the check sheet in the gym after every check and a final check needs to be completed at each shift handover.

GENERAL

  • You are expected to be flexible and undertake reasonable additional duties as required by the managing agent, Building or Deputy Estate Manager.

  • To report any defect, or health and safety concern, no matter what it's nature, to your line manager.

  • Strong administrative skills are essential

  • You should refrain from smoking, swearing or shouting, being under the influence of alcohol or illegal drugs, behaving unsociably, watching TV, sleeping, eating, congregating with others or conducting yourself in a manner deemed unsuitable by member of senior staff.
