Our Client is looking for an experience Porter to join thier luxury development in East London.
Working Hours: Monday to Friday 8am - 5pm
The Porter is responsible for proper maintenance, appearance, stock, cleaning, security, heating, health and safety and smooth running of front of house reception office, in addition to offering assistance to all personnel visiting and utilising the estate and undertake basic administrative duties as directed by the Head site manager.
Duites:
- To receive deliveries on behalf of leaseholders and issue parcel collection notices accordingly.
- To answer the reception office phone in a professional manner.
- To respond to basic emails in a professional manner
- To programme new vehicle remotes/fobs when required by residents and administer and update the corresponding log.
- To administer the parking enforcement system on site.
- To ensure reception office outlook calendars and diaries are kept up to date with all meetings and appointments with contractors on site.
- To diarise any routine maintenance work which needs regular attention and follow up accordingly, in conjunction with the Head site manager.
- To report any maintenance or breakdowns immediately to the Head of Estate Maintenance and continue to provide updates to both the Head site manager and the residents.
- To carefully complete all log reports that may be required by the employer or the Head of Estate Maintenance.
- Where applicable, to ensure detailed handover notes are written and made available to the next staff member coming on shift as to ensure a seamless transition.
- To keep records of bike storage availability, meter readings and any other logs as directed by the Head site manager/Managing Agent.
- To be familiar with all aspects of the site including location of stop cocks (main and individual), shut off points for electricity supplies, fire protections systems and manual override for vehicle gates.
- To acquire a working knowledge of the technical equipment within the estate and individual units in order to offer prompt assistance with any defects or malfunctions that may arise.
- To be familiar with the lease terms, house rules, onsite handbook and any other associated documents relating to the site and refer to them as often as required.
- Report any breaches of the terms contained within the above documents to the Head site manager.
- Ensure residents are treated in a respectful, helpful, polite and efficient manner.
- To deal with all queries on site efficiently and professionally and, as appropriate, direct queries to third parties for action, ensuring the person raising the query is informed of the action taken, the expected outcome and the timeframe involved.
- Complaints from Residents to be referred to the Managing Agent immediately and all possible assistance must be given.
Maintenance:
- To maintain the general appearance of the estate externally and internally.
- To assist the Head of Estate Maintenance/Caretaker in any maintenance works on the estate as directed.
- To carry out gritting in winter time
- To ensure access to the communal bin store is free from obstruction.
- To ensure communal bins are available for regular collections
Security and Health & Safety:
- To have responsibility for Health & Safety matters relating to the estate office, in conjunction with the Head of Estate Maintenance.
- To maintain the security of the premises and contents, being alert to any potential security risks to the building and facilities.
- To maintain a key log for residents including authorisation sheets and only release keys to those whose are named on the authorisation sheet.
- To monitor incoming and outgoing of personnel and vehicles, be they residents, contractors or visitors to the estate.
- To monitor CCTV and be proficient on playing back and burning sections to disk.
- To maintain accurate reports of any security or Health & Safety incidents.
- To co-operate with the Health & Safety Officer, Police, Fire Brigade and any other representatives on all aspects of security, fire and safety, and to take all appropriate action in the case of a break-in, theft or fire.
General:
- To be proficient with all Microsoft applications.
- To maintain a high standard of personal appearance
- To participate in staff meetings and 1-2-1s as required
- Undertake in-house Training as required
- Any other reasonable duties as requested by the Site Manager/Managing Agent/Directors
