Facilities Manager

Managed Office. Flexible Workspace. Commercial Office.

Location: covering multiple central London locations

Working days / hours: Monday to Friday, 9am to 5:30pm

Salary: £45,000 to £50,000

Our client are a successful managed workspace provider with a portfolio 10 - 15 sites across central London, who are continuing to quickly expand their portfolio. They have an excellent staff culture and create inspiring places for the tenants to work.

Due to continuous growth, they are now seeking an experienced Facilities Manager, to lead on all FM related projects within the business, whilst line managing a Maintenance Technician and a Caretaker.

The Role:

The Facilities Manager is responsible for all aspects of the hard and soft facilities services, and resolving any maintenance issues across all buildings in the portfolio. This includes managing the internal facilities team through their day-to-day duties and overseeing external contractors working on site.

With strong planning and organisation skills the successful incumbent will ensure that their various projects and responsibilities are delivered in a timely manner, whilst prioritizing tasks that are most important to the business.

The Facilities Manager will demonstrate a proactive 'self-starter' approach and will always be striving to provide clean, safe, secure, compliant and attractive buildings to customers. They will be able to apply logic to complex situations or issues, but also think creatively to find the most effective solution that is in line with the company values.

Objectives:

  • Achieve and maintain excellent standards of Facilities Management in all buildings. This includes the building fabric, hard and soft services (coordination of planned and reactive maintenance) and building health and safety.
  • Work alongside the General Managers and Assistant Managers to maintain the buildings to a high standard ensuring they are clean, safe, secure, compliant and attractive to clients.
  • Build relationships with external contractors and service providers to ensure that their delivery is in line with expected levels of quality, service, cost and timeliness.
  • Coordination of all compliance related tasks (including weekly fire tests, water temperature testing, maintenance visits etc) and conduct regular audits to ensure all site documents are maintained (including Health & Safety files, water logbooks and certification etc)
  • Ensure that planned and reactive maintenance is conducted to maximise the effectiveness of all assets, and that all works completed are financially sound.
  • Manage the Facilities team members; oversee the completion of their planned and reactive tasks, as well as supporting their development. Act as a point of escalation for related issues.
  • Providing regular updates to HOO and GM's on status of maintenance tasks and issues and have ownership on reporting on SLA performance.
  • Collaborate with the Operations Manager to introduce new processes and tools to reduce energy consumption, be greener and save money in the way they operate buildings (heating, water, recycling, etc.)
  • Support the opening of new buildings by working alongside the Project Manager and Architect to ensure the design and construction allow efficient future maintenance, and a full building O&M manual is created.

Skills and Experience:

  • Minimum of 3 years relevant FM experience in commercial buildings (encompassing both Hard and Soft FM)
  • Experience in managing staff and contractors, working with planned maintenance programmes and knowledge of relevant compliance and legislation
  • Hold minimum of IOSH Managing Safely Certificate
  • Experience coordinating and project managing, including management of budget and deadlines
  • Flexible mindset and willing to grow to within the company
  • Friendly and can-do approach to people and challenges faced
