Front Desk Operations

Undertake the role of Concierge in accordance with Policies and Procedures. This includes responsibility for dealing with all desk-based procedures and processes:

  • Welcome visitors by greeting them in person or on the phone answering or referring enquiries.
  • Handle telephone calls, mails, emails and requests made in person.
  • Provide information and assistance regarding concierge services.
  • Maintain accurate and timely records of work tasks on Front of House daily reports and weekly meetings to ensure all information is handed over and followed up efficiently.
  • Process credit card terminal reports (Z report, end of shift report).
  • Control the flow of deliveries and supplies.
  • Assist the Events Team with setting up and looking after Residents and external guests.

Building Operations & Security

  • Conduct regular security walkthroughs and actively communicate any issues to the GEM.
  • Regularly monitor all CCTV and access control systems.
  • Maintain security by following health and safety procedure in place.
  • Respond to incidents, alarms and emergencies on site and report these to the GEM.
  • Follow local fire alarm, safety and evacuation procedures.
  • Maintain an accurate record of duties undertaken.
  • Be responsible for your own health and safety, and that of anybody else who may be affected by your acts or omissions.
  • Manage key holding: control and audit of access cards and building keys.
  • Ensure the building frontage is kept clean and tidy.
  • Ensure all IT equipment is up and running (iPads, cables, screens, printers)
  • Ensure all signage and notices are appropriate.
  • Be aware and responsible for all visitors on site.
  • Execute small maintenance and cleaning jobs such as:

- Change door lock batteries - Replace/move furniture as required

- Ensure communal areas are kept clean

- Carry out emergency housekeeping tasks where required

  • Manage site contractors:

- Ensure all contractors must have the correct authority to carry out repairs/works before commencement.

- Be aware and responsible for access and routine management of all approved contractors, such as security officers, cleaners, service engineers, and window cleaners.

- Ensure external contractors conduct their required duties.

- Report incidents of unsatisfactory work quality to the Guest Experience Manager.

Residents & Culture

  • Illustrate the company vision and values on a daily basis.
  • Be impeccable in your presentation of self as dressing according to the business standards.
  • Develop and maintain interpersonal relationships with colleagues and Residents.
  • Create a welcoming and proactive environment for our Residents.
  • Be acquainted with all Residents and regular visitors, and greet them by name whenever possible, in a polite, professional and personable manner.
  • Announce visitors to Residents & management.
  • Ensure that all complaints are reported to the Assistant GEM and the GEM. Space to be… brilliant.

Skills & Requirements

  • Experience in a customer facing role or in the security industry
  • Refined verbal and writing communication skills.
  • People person.
  • Good organisation skills and dedication to completing projects in a timely manner.
  • Individual with enviable customer service skills.
  • Very well organised & excellent time-keeping.
  • Professional integrity, trustworthy and great attention to detail.
  • Positive outlook with Can-Do-Attitude and flexibility.
