Job Specification

Full-Time: Building Manager 1 year FTC

Location: King's Cross, London

Reporting to: Head of Workplaces Management

Salary: £40,000 - £45,000

As a Building Manager, the chosen applicant will oversee an efficient building management staff on-site, deliver exceptional customer and FM service through delivery and innovation, and uphold compliance with all health, safety, sustainability, and regulatory compliance requirements. As the building manager, you will be responsible for directing and managing a variety of internal facilities soft services. Managing buildings safely within the FM function while collaborating with Group departments and other property teams as needed.

Main duties:

  • Ensure the smooth running of the workplace by monitoring and maintaining an effective and appropriate building environment and providing central equipment and stationery supplies
  • Reporting any faults identified throughout the building and ensuring they are rectified in a timely manner
  • Ensuring accurate daily records of tenants/staff/visitors are maintained at all times
  • Coordinate management of soft services within the building to ensure a high level of customer satisfaction.
  • Identify customer requirements and supervise and co-ordinate work to ensure that Group targets are met and effective working relationships with internal and external customers are maintained

Leadership and Staff Management:

  • Direct line management of internal building management team including; reception, building coordinator, workplace customer support and caretaking staff, working together to ensure high standards of appearance and throughout the building
  • Setting of objectives and performance management of the building management team arranging training as identified or required
  • Support & assist cross functional working between the Assets & Investments Group companies

Strategy:

  • Provide detailed and accurate reporting as required
  • Assist in the support and delivery of Workplace Management administration requirements as well as the Workplace Solutions Department and Assets & Investments function to meet the needs of customers, stakeholders and other opportunities

Performance Management:

  • Delivery of Building Manager reports, meet KPI's, sustained performance and achievement of targets, goals, objectives, supporting delivery of the business plan within the Workplace Management team
  • Provide great organisational, systems administrative, IT and reporting skills. Finances, Budgets & Resources:
  • Ensure that your site is managed within budget, raise necessary purchase orders, approve invoices and follow the correct procedures within agreed authorisation levels

Health, Safety & Environmental:

  • Act as a lead fire evacuation coordinator in the event of a Fire or a drill and complete the relevant paperwork
  • Manage daily onsite Health Safety and Environmental matters
  • Responsible for managing and monitoring all COSHH documentation within the workplace

Governance:

  • Ensure that the onsite team and all work carried out by suppliers operates within the FM strategy and all regulatory guidance, statutory, group policies and legislative requirements
  • Provide quality checks that all work carried out on sites is performed as per FM strategy, and in accordance with all legislative/statutory requirements. Reporting any issues for escalation

Risk Management:

  • Create and update risk assessments and method statements which are required for the use of equipment throughout the workplace
  • Responsible for ensuring all sub team staff are aware and BCP requirements and training
  • Undertake all duties in compliance with the responsibilities and safety rules identified in the Workplace Solutions Health and Safety Policy

Other:

  • Developing and maintaining information and databases relating to on site FM matters
  • Provide focused and user-friendly management reports

Essential Skills/Knowledge/Experience:

  • Strong engaging management style with organisational and leadership skills
  • Excellent literacy, spelling, grammar and numeracy, time-management and IT skills
  • Good Risk Management knowledge (ideally in a commercial office environments)
  • Demonstrable experience within a similar Facilities/Buildings Management role
  • Experience in managing and ensuring smooth daily running of a large office/building
  • Supporting delivery/implementation of SLA agreements and KPI'S

Working Relationships:

  • Works productively and supportively with staff and team members based at the Group Workplaces to nurture a harmonious and productive environment
  • Liaison with other staff throughout the Group to review policy/procedure and to share good practice
  • To work productively and supportively with office-based reports and managers
