About our client
Our client is a family-run property maintenance and commercial refurbishment business operating across London and the South East. They work with property managers, developers, and landlords, delivering reactive maintenance, planned maintenance programmes, and refurbishment services across residential and commercial portfolios. The role
They're looking for a Maintenance Coordinator to join the team at their office in Takeley, Essex. You'll be the central point of contact between property managers and in-house engineers, managing work orders from receipt through to completion and making sure jobs are scheduled, tracked, and closed out properly.
It's a busy, operational role that suits someone who's organised, communicates well, and can keep multiple moving parts on track without things falling through the cracks.
What you'll be doing
- Receiving, logging, and qualifying incoming maintenance requests (reactive and planned) and dispatching to engineers or contractors based on priority, location, and skill set
- Liaising with property managers to diagnose issues before works are raised, keeping them updated on job status, delays, and follow-ups throughout
- Monitoring active jobs against agreed SLAs and escalating where needed
- Maintaining accurate records of job notes, materials, and completion times, and checking contractor invoices against work orders
- Ensuring compliance and health and safety documentation (including RAMS) is collected and filed correctly
Skills and experience
Essential
- Previous experience in a coordination, administration, or customer service role
- Strong organisational skills with the ability to manage multiple jobs simultaneously
- Clear verbal and written communication skills
- Comfortable working in a fast-paced, operationally driven environment
Desirable
- Background in property management, facilities management, or construction
- A working knowledge of property maintenance trades (plumbing, electrical, carpentry, and similar)
