The Role:
The Facilities Management Assistant is responsible for supporting effective coordination of the building's compliance obligations (particularly in relation to fire and Health & Safety checks), planned preventative and reactive maintenance, and liaison with residents for general maintenance requests, mid- term inspections and the entire end of tenancy process with excellent customer service. This is a customer facing onsite role, providing an excellent quality and high value residential environment for a wide mix of residents, occupiers, and visitors.
Rota: Monday - Saturday between 8am - 8pm on a rota basis
Salary: Between £28k - £30k with a discretionary bonus of up to 10%.
Location: London, SE1Duties:
1. Work with the General Manager and Facilities team to ensure compliance with current Fire, Health & Safety regulations.
2. Assisting with the facilities management software platform, QUOODA, updating and managing live tasks such as FRA actions with the aim to successfully close down tasks.
3. Overseeing the CRM system, Hubspot and managing, updating and closing down live reactive maintenance tasks.
4. Raising purchase orders (PO's) with the ability to efficiently track each PO using a live system.
5. Assisting with the planning of End Of Tenancy tasks that will need to be carried out in the apartments.
6. Managing the Repairs Inbox, responding to live enquiries and assisting with general communication with residents.
7. Assisting with PPM (Planned Preventative Maintenance), following up on the receipt of necessary certificates.
8. Learning and understanding the different contractors that are used and instructed to assist with works on site.
9. Assisting with overseeing contractors and ensuring their work is completed within the agreed SLAs.
10. Supporting the team with arranging call outs where needed.
11. Adhere to H&S policies and ensure safe systems of work including Permits to Work are followed.
Qualifications:
1. Demonstrates the Realstar traits of honesty, integrity and intelligence.
2. Previous experience with coordinating third party providers' maintenance and/or Health & Safety services
3. Sound knowledge of H&S requirements for a residential building including contractor risk assessments, method statements, compliance checks etc.
4. Proven track record of strong delivery against compliance targets.
5. Excellent customer relationship skills and attention to detail.
6. Clear and effective communication skills, verbally and in writing.
7. Excellent organisation and time management skills.
8. Intermediate IT skills including Microsoft Office.
9. Strong team player with a willingness to support others.
10. A positive, 'can-do' attitude with a desire to achieve outstanding results.
11. Ability to work independently.
12. Ability to work Saturdays and public holidays in line with the rota.
