Our client is currently recruiting for an experienced Building Manager at a luxury site in North London.
Rota: Monday to Friday
Minimum Experience & Qualifications
- 5 years' minimum experience
- IRPM
- IOSH/ NEBOSH/ NCRQ
- IWFM
- Role specific NVQ's (Management, Facilities Management)
Core Role
- Knowledge and maintenance of the building systems and their operational functions, inclusive shared / communal plant, passenger lifts, gym and leisure equipment and all life-saving systems.
- Act as Building Manager in the Residential areas, and in the Landlord's retained areas, (e.g. structure of the building and other non-residential areas).
- Inform and update the managing agent on any matters relating to their demised or affected areas.
- Review and update Fire Safety Prevention for the building.
- Retain Compliance in all statutory inspection documentation
- Update and manage Health and Safety Files.
- Manage the external FM team ensuring all statutory inspections and remedial works are undertaken, with documented evidence, within required timeframes.
- Actively monitor PPM scheduling ensuring all building plant and associated kit are maintained as per manufacturer guidance.
- Manage all hard & soft service contracts inclusive of KPI / SLA monitoring & reporting.
- Understand the budget, conduct the contract renewals and budget review.
- Manage, organise and update the control of external risk assessments
- To be fully aware of the policies, procedures and house rules, including relevant legal regulations.
- Schedule works with external contractors, review RAMS, raise permits and manage contractor control, whilst communicating with resident and service users.
- Raise, organise, facilitate and manage rectification of defects with the customer and client.
- Compile monthly reports for the Portfolio Manager in relation to outstanding issues, defects, non-operational / faulty equipment and expenditure.
- Review critical spares, provide budget cost requirements in line with the life cycle of equipment and replacements.
- Manage COSHH and other risks related to the building and systems.
- Management of insurance claims.
- Working with the Building Safety Director to ensure compliance under the Building Safety Act
- Cover the reception desk during concierge lunch break.
Communication
- Communicate and present information in a clear, organised and persuasive manner, both verbally and where relevant, in writing
- Communicate and share information with the team, through frequent open and two-way communication individually and through team meetings. This is to include relevant company policies, goals, changes and successes in the business.
- Encourage ideas and innovation from the team and to act on these where appropriate.
- Actively chair, participate and contribute at meetings in the business (this includes client, team & FM contractor meetings)
- Preparation of resident communications by way of portal, newsletters and other written methods were relevant.
- Organise and participate in resident surgery meetings and bi-annual general residents' meetings.
Leadership & Influence
- Manage the concierge team and support them to achieve the best results and receive appropriate and relevant development opportunities.
- Inspire, engage and lead the implementation of the residential services to achieve the vision, mission and goals and to bring alive the concierge services.
- Lead the team to ensure that exceptional service becomes the norm, 24 hours a day.
- Work effectively with others at the site - seeking input, contributing ideas, suggestions and sharing relevant information.
- Manage training needs and ensure training records are kept up to date.
- Effectively manage the departmental manpower to ensure no under or over staffing.
- Review resident needs and staffing levels and discuss any discrepancies with the Portfolio Manager for review at Client meetings.
- Review and evaluate the performance of the team and carry out an annual and mid-year performance review.
- Be involved in the Company Disciplinary and Grievance processes.
- Develop in depth knowledge of the building and residents, clients and contractors by way of inspections, meetings, planned surgeries.
Service Delivery
- Ensure Management Agreement KPI's are met and upheld at a high standard.
- Ensure that the team understand and anticipate resident needs, follow up and ensure expectations are met and where possible exceeded.
- Work with the team to proactively develop resident care and services, in line with the vision.
- Ensure that client expectations relating to lifestyle concierge services are consistently delivered and constantly evolving.
- Drive customer service excellence by staying close to the operation, building rapport with residents and understanding client requirements, developing excellent working relationships, at all levels.
- Ensure the team operates to the agreed Service Level Agreements and record this.
Financial Management
- Maintain an accurate and efficient financial control system for the operation and adhere to company procedures and deadlines.
- Manage individual invoice sign offs on a regular basis.
- Complete the Budget annual review.
- Add narrative and check invoice coding to enable the Client Accountant to produce accurate quarterly actual vs budget reports.
Administration & General
- Ensure that all site administration procedures are followed in line with the company and client procedures.
- Ensure that all operational information is reviewed regularly and always up to date.
- To ensure adherence of all relevant Health & Safety and any other legal requirements and to promptly act upon and follow up on any issues pertaining to these.
- To compile data and create a monthly/quarterly/annual report for the Client
- Undertake any other reasonable task as required.
