- Description
PMR are seeking a Property Assistant responsible for managing 3 private rental blocks in East London including every aspect from Rightmove posting & enquiries through to occupation. This position is a maternity cover contract.
Working hours: Monday to Friday 9am - 5:30pm- Develop a detailed knowledge of the development and maintain up to date awareness of the local letting market.
- Maintain close liaison with our partners and clients to manage and keep track of the progress of new tenancies planning ahead to ensure maximum occupancy.
- Prepare and complete all check-in/check-out inspections updating all systems & partners.
- Inspect, identify and report repairs/dilapidations to the client and Property Manager taking appropriate steps to resolve whilst ensuring that all systems are updated.
- Ensure track lists are up to date according to progress for move-ins and move-out.
- Make sure the residents' database is up to date with full contact information for all Residents.
- Preparation of welcome packs taking ownership of all client & partner communication through and end to end process until the point of move-in.
- Conduct all pre-tenancy referencing and lease enquiries and conduct viewings when required providing a flexible, professional and efficient response.
- Maintain accurate information throughout all management systems (Qube, Salesforce, Inventory Hive, FixFlo, Outlook etc.)
- Assist the estate management team and colleagues in ad hoc estate wide communication and projects in order to deliver consistent service levels.
- Liaise with multiple in house teams to update tenancy changes in PRS units and deliver prompt and accurate response to a wide range of enquiries.
- Develop a detailed working knowledge of the Estate to contribute and support the estates team in its daily operations and routine tasks as needed (training will be provided by the Estate team)
- Assist with and reply to customer queries related the estate operations (Service charges, parking, site operations, resident communications portal, community events etc.) in order to provide advice and assistance to residents.
- To be involved in solo or joint estate wide external and internal building inspections and H&S checks & reporting and where required take part in resident events and quarterly stakeholder meetings.
- Identify and report any repairs needed to internal and external estate communal areas (such as lights, lifts, entry phones, cleaning, landscaping, etc.)
- To be conversant with the estate H&S and compliance data bases and take a proactive role in all estate fire safety and statutory compliance matters.
- To deputise for the Property Manager as required (full training and support will be provided)
- Must have Qube & PRS experience with some flexibility required in the event of out of hours viewing appointments.
