PMR are seeking an experienced Credit Controller to work with our client, a national Build to Rent provider, to provide full credit control services for all their properties
Key Tasks
* Bringing all payment dates in line with a fixed payment date i.e 1st of the month for entire portfolio.Bank
* Identifying overpayments and instructing refunds or reallocation of funds.
* Reallocation of receipts within the ledger.
* Assist with receipting and bank reconciliations when required.Lettings - New Lets, Renewals and Exits
* Payment date and pro-rata calculations for Sales Teams.
* Checking and posting any unposted charges.
* Running unposted charges report.
* Invoice raising - routine and ad-hoc.
* Update the renewals tracker and provide confirmation that renewals are ok to proceed before lease execution.
* Reconcile accounts as part of tenancy end to inform any implication with TDS/Reposit.
* Update Qube with on-boarding / off-boarding of customers, ensuring all contact details are up to date and copy of leases are saved;Active Collection
* Ensuring all accounts are up to date and legal actions/cases are taken after initial stage;
* Serving relevant notice (section 8 or 21) for rent arrears and chase former customer debts;
* Preparing all necessary paperwork to attend court hearings to recover outstanding debt;
* Instructing bailiffs or solicitors where necessary to recover arrears;
* Responding to cases where customers have handed in keys due to inability to pay rent and handling enquiries regarding arrears with relevant parties;
* Raise purchase orders for works instructed to bailiffs or solicitors;
* Approve relevant invoices in relation to works instructed on a weekly basis;
* Raising monthly and ad-hoc customer charges.
* Comms to tenants on a weekly basis for those paying with the wrong reference.
* Liaise with Property Managers during collection process (2nd and Final Reminder).
* Confirmation that all income/charges have been raised for period/month ahead in advance.
* Chasing customers by telephone, running letters, emails and required forms on a routine
basis; (1st reminder, 2nd reminder and final reminder with telephone and email comms in between.)
* Handling inbound / outbound customer calls regarding their account(s) respecting confidentiality;Reporting
* Confirming arrears and collection position
* Producing weekly aged debtor reports with commentary
* Producing Aged Debt/Collection report with commentary for Monthly Reporting Pack
* Producing Aged Debt/Collection report with commentary for Quarterly Investor Reporting Pack
* Discussing bad debts with the accountant and asset managers on a regular basis to inform quarterly financial provisions;
* Promoting any bad debt write-offs on a quarterly basis with a formal report and in a timely mannerManage and oversee the work of the Credit Control function:
* Provide an efficient and quality service, setting departmental KPIs which are in line with Company KPIs and Values;
* Looking at improvements which can be made to the efficiency and service provided by the department, and the communication between departments;
* Effectively communicate, through presentation, verbal and written mediums.
* Updating team procedures in line with compliance and best practice;
* Reporting regularly on KPIs and compliance with internal processes;
* Liaising effectively and efficiently with other stakeholders.General Responsibilities

* Support the Marketing Team to implement engaging community building events for residents
* To undertake any other duties as are reasonably requested from time to time
Personal specification:
Essential
* Knowledge and experience of using Qube
* CIMA / ACCA / AAT qualified or equivalent Able to show an understanding of and commitment to property services and managing third party customer relationships.
