Reporting into the Director of Assets and Property Management, the Senior Facilities Manager will manage all property related aspects across our client's portfolio including the management of their maintenance helpdesk and compliance teams.
Key Responsibilities
- Implement and manage the Planned Preventive Maintenance programme across the portfolio within set budgets
- Managing the procurement of property maintenance suppliers, cleaners and landscaping contracts, tendering work packages to ensure best value, monitoring and maintain supplier compliance certification records; and ensuring compliance with Service Level Agreements within set budgets
- Supporting the Director of Assets and Property Management with the delivery of the Regional Maintenance team
- Management of FM teams; Maintenance Helpdesk, Compliance, and Regional Maintenance teams once in place, driving performance and supporting with their continual learning and development
- Advising on and managing a programme of Lifecycle/Planned works replacement across the portfolio, typically to be delivered by third party contractors, and ensure that adequate budgets are set for this future work and the portfolio is maintained to a high standard to meet the needs of our tenants and protect the property value
- Reviewing existing and prospective acquisitions due diligence documentation with the wider team, to advise on budgets to be set and approved to deal with all building matters, immediate repairs required, and longer-term Lifecycle costs following acquisition
- Provide technical advice as and when required
- Assist the Director of Assets and Property Management in driving cost efficiencies through the procurement and tender process with suppliers, leveraging the scale of the growing portfolio size
- Responsible for the annual proactive works budget
- Managing the insurance claim process
- Work closely with contractors to improve service delivery and validate any necessary invoices
- Implement and maintain and contractor register and associated documents
- Ensure Health and Safety polices and processes are adhered to
- Assist with the development and implementation of FM policies and processes
Experience and Qualifications
- Relevant technical qualification
- 5 years' experience in FM/Estate Management
- Demonstrable experience in managing FM teams
- Experience in preparing tenders and request for quotations documentations
- Sound understanding of building construction technology
- Good working knowledge of mechanical and electrical systems
- Contract management skills
Willingness to travel across a national portfolio
