Our Client are actively seeking for an Assistant Facilities Manager to join their team at a luxury residential development based in Croydon.
Working Monday to Friday with the hours of 8am - 4:30pm.
Salary is up to £40,000 annually
Duties include but are not limited to:
To assist the Development Manager in the day to running of the development
Developing role which will allow you to improve your existing skill set and progress your career whilst fully supporting the Development Manager and the team in delivering an exceptional level of service with a particular focus on the hard services.
Overseeing a development of 791 apartments and six commercial units and ensuring the facilities and maintenance programme is maintained whilst sustaining a very high level of customer service
To coordinate and manage the PPM schedule ensuring close liaison is maintained with all contractors. To ensure the PPM calendar is planned and reviewed in advance to ensure all activities are captured and to enable confirmation of site attendance by the contractors so the compliance tracker can be updated on a monthly basis.
To ensure company procurement procedures and adherence to KPI requirements are met with regards to work instructions, approval to be sought from DM or SEM if thresholds will be exceeded.
To maintain accurate records in accordance with the PPM schedule and make available as required.
To ensure the compliance tracker is updated by the first Thursday of the Month for the previous month end.
To ensure all contractors Permits to Work are correctly completed and accompanied by Risk Assessments and Method Statements (RAMS). All contractors, communal and residential are required to follow the site registration procedure.
To carry out daily checks of the development encompassing all floors, basement area and plant rooms noting any issues of cleanliness or defects.
To co-ordinate the testing of equipment under the direction of the Development Manager i.e. fire alarms, PAT testing etc
To have oversight of the HIU Booking System and to work with the Development Co-ordinator to ensure appointments are booked in accordance with the program as developed by the DM and SEM.
To ensure all incidents or accidents are recorded accordingly and appropriate actions are taken with the correct personnel informed.
To undertake inspections of the development, with particular attention to all Health and Safety areas and general appearance of the development.
To liaise with the company's Health and Safety advisor where more detailed risk assessments and method statements are required.
Address any areas identified, as appropriate, when any Risk Assessments have taken place.
Monitor and review daily works completed by contractors, ensuring they are working within the agreed RAMS. Work Permits to be issued before work is allowed to proceed on site.
To adopt and implement the procedures directed by the company's Health and Safety advisor.
To arrange induction training of new staff on all procedures and to ensure their development going forward is encouraged.
To ensure all contractors visiting site receive a site-specific induction including notification of current health and safety issues relating to site.
Attend regular meetings as directed by the Development Manager and take minutes as required
To be available, on a pro-rata basis as agreed with The Development Manager, out of hours to answer telephone calls from the Night Concierge or in an emergency and to ensure the Development Manager is fully aware of all issues by 08.00a.m. the following morning. In the event of an emergency, the Development Manager will have been called in the first instance.
Recommend to the Development Manager any improvements which could be implemented in order to enhance the development.
Manage and co-ordinate stationery, cleaning and utility supplies to adhere with demand ensuring value for money is maintained.
Undertake the general duties as required from time to time commensurate with the management of residential property in accordance with industry best practice.
