Our Client are actively seeking for an Estate Manager to join their team at a luxury residential development based in Croydon.
Working Monday to Friday with the hours of 9am - 5pm.
Salary is £53,000 annually.
Duties include but are not limited to:
Overseeing day-to-day management of the development
Ensuring an exceptionally high level of customer service and ability to manage a variety of projects
Ensure that correspondence, emails and telephone calls are responded to within the timeframes set out within the Customer Service Charter.
Provide bespoke regular updates to leaseholders and residents, to advise of ongoing projects and upcoming tasks, promoting and demonstrating good management
Communicate effectively, being succinct, professional and friendly.
Action and progress repair and maintenance requests / observations through to completion, updating all parties as necessary throughout.
Plan, specify, tender and oversee cyclical maintenance projects, major repairs and routine contracts, monitoring through to completion and liaising will all necessary parties throughout.
Assist in the audit of service charge accounts at scheme financial year ends, ensuring accuracy, and liaising with RMCs, RAs and clients as required during the approval process, always recognising the associated legislative time constraints.
Assist in preparing a service charge estimate for the development well in advance of the financial year start date, allowing time for the management and other stakeholders to comment as required, always recognising associated time constraints. Ensure service charge estimates are set to achieve a reflective and realistic forecast of funds required to manage each scheme.
Produce quality reports as required by management, ensuring that the efforts and achievements of and individuals are promoted within.
Consider and plan ways in which community can be encouraged and built within the development and be willing to arrange and attend social events for the purpose of social integration.
Undertake a detailed, full inspection of the whole development (both internally and externally) each day and record matters requiring further action and attention within the electronic Duty Occurrence Book.
Task and monitor the duties of site-based staff to ensure that work specifications and service levels are met. Clear and specific instructions should be issued to estate staff with joint review of efforts to ensure an appropriately proficient outcome.
Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement with staff.
Ensure appropriate training and compliance with Health and Safety and employment legislation.
Monitor the performance of regular routine contractors (e.g. grounds maintenance, communal area cleaners and window cleaners), checking that agreed work has been completed satisfactorily and following up on any deficiencies.
Liaise with residents and contractors regarding routine repair and maintenance requests. Monitoring work to completion.
Monitor to completion insurance claims. Liaising with residents, contractors, management and other stakeholders as appropriate.
Actively take action to remedy breaches of the lease and causes of nuisance.
Assist with the collection of service charges and other payments required by the lease. Instigate arrears procedures when required.
Review, query and ultimately approve contractor invoices in accordance with company policy, ensuring prompt payment and query resolution.
Be familiar with and be able to interpret individual leases and transfer agreements and be able to confidently provide advice accordingly.
Be familiar with Company, Landlord & Tenant, and relevant Health & Safety Legislation that affects the development, incl. Health & Safety at Work Act 1974, Regulatory Reform (Fire Safety) Order 2005, Landlord & Tenant Act 1985, Law of Property Act 1925, Commonhold and Leasehold Reform Act 2002, Leasehold Reform, Housing and Urban Development Act 1993, Companies Act 1985 & 2006, etc. recognising the need to escalate concerns and incidents as required.
Liaise with the Compliance team to ensure that operational practices remain safe and compliant.
Ensure that O&Ms are adhered to and that maintenance regimes and compliance are successfully achieved.
