Residential Building Manager Required in Lewisham

HOURS: 35 hours per week. Monday - Friday, 08:00 - 16:00

(hours can vary due to the nature of the role so we do require some flexibility on this)

AIM OF POST: The Building Manager will ensure the provision of a safe and secure environment for the residents and visitors of the development whilst managing the day-to-day activities at the development. They will aim to ensure that staff and contractors undertake their duties, monitor their effectiveness and provide a link to the Property Manager at Head Office.

Responsibilities:

  • Supervision & training of all site staff directly employed by the management company in respect of the day-to-day operations.
  • Supervision of all outside contractors employed by the management company in respect of the development and responsible for issuing Work Permits as appropriate.
  • Overall responsibility for the security of the development.
  • Responsible for ensuring all maintenance contracts including all Health & Safety requirements are carried out according to the current schedule.
  • Overall responsibility for the site fire & emergency procedures policy and for ensuring that relevant preventative measures are undertaken, including staff training.
  • Overseeing activities of contractors appointed by apartment owners as effects the communal areas and building's security.
  • Maintaining and reviewing procedures for the day-to-day operation of the building.
  • To ensure the duties of all staff are carried out in accordance with their specific job descriptions and contracts of employments to a satisfactory standard. To ensure the correct behaviour of all staff, implementing the relevant training, ensuring the staff are wearing the appropriate uniform and to report any misconduct directly to the managing agents. To instigate the appropriate disciplinary action in consultation as appropriate. To prepare all staff rotas to ensure all shifts are adequately covered, together with holiday and sickness cover.
  • To ensure that all cleaning of the communal areas is carried out in accordance with the terms of reference. To ensure that all contractors employed complete jobs to a satisfactory manner, to standards and within timescales specified by either the building manager, freeholders or managing agents.
  • Ensure that the maintenance schedules are adhered to; that operational checks are carried out and recorded; that contractors respond to call-outs in accordance with the terms of the contract.
  • Ensure that contractors comply with requirements regarding; Health & Safety, Parking, Disposal of Refuse, Limitation of working hours.
  • To ensure that all site specific Health and Safety requirements are adhered to e.g. maintain an approved Accident Book, ensuring all incidents are reported and investigated as appropriate etc.
  • Carry out ongoing reviews of fire prevention matters and ensure that staff, contractors and residents comply with the requirements under current legislation and local by-laws. To carry out checks of fire appliances on a weekly basis, to include alarm checks to ensure all zones are covered every thirteen weeks. To carry out staff fire training every six months and to keep up-to-date appropriate records. To ensure that all fire doors are kept closed and fire escapes and exits clear at all times.
  • Ensure that all car parking spaces within the car park are regularly patrolled to ensure residents, visitors and contractors park in the spaces allocated to them. To maintain a register of all vehicles parked on site and to issue permits to all of the above mentioned.
  • Ensure that all staff adhere to a high standard of personal and work-place cleanliness in accordance with their terms of reference.
  • To attend all meetings as required by the Managing Agent. To chair regular staff meetings (monthly) to ensure good lines of communication.
  • To maintain good customer relations at all times, dealing with complaints and subsequent action. Ensure that the highest levels of customer care and service are maintained at all times. Bring to the attention of residents any breaches of in-house rules.
  • Maintain adequate stocks of such items as stationery, cleaning materials, Light bulbs and control with stock max/min re-order control system. Ensure relevant spares and consumable items as detailed in the O & M manual are kept.
  • Ensure that all mail is delivered to the post boxes but where this is not possible to hold these items securely until such time that residents can collect them. Maintain a secure method of notification and control of all such items.
  • Maintain a key control system to ensure the safekeeping of both resident's and building keys at all times; to ensure that key disclaimer forms are completed prior to the release of keys to a third party.
  • Ensure that adequate records are kept of all residents, apartments and registered vehicles kept at the site. Ensure that adequate records are kept on all security, Health and Safety, Daily/Weekly/Monthly/Yearly inspections, together with all maintenance schedules. Duplicate records are kept on all personnel issues to do with training, induction and appraisal records.
  • Maintain contact with Managing Agent to advise them of all relevant issues, but in particular: all emergencies, all breaches of the lease, all serious defects, any matter likely to be the subject of formal complaints, all breaches of discipline by any member of staff, all breaches of contract by any contractor. To supply details monthly of overtime returns and staff changes.
  • To ensure that regular inspections are made of the building to check maintenance, security, Health and Safety issues etc.
  • To ensure that the concierge office remains staffed at all usual working hours, Monday to Friday, and remains open for residents, contractors and deliveries etc.

Note: This is just a summary of the Building Manager's duties and it may be subject to alteration at the discretion of the managing agent or the Freeholder.
