Description

Our client is seeking an experienced Team Leader to join the team. You will be brought on board to assist the Management Team with the efficient and effective management of a designated property portfolio comprising of residential and mixed use properties and lead the Property Managers.

Main responsibilities:

  • To follow and adhere to the Group's policies and procedures at all times, without deviation.
  • To prepare reports for the Board (Major Works, Property Inspections, H&S Reports, schedules of information etc.)
  • To put forward recommendations and obtain instructions (from Regional Management Executive/Regional Control) on matters concerning the effective management of the managed portfolio.
  • To maintain good Landlord and Tenant relationships by providing a high-quality service to all tenants and leaseholders of the Group.
  • To obtain value for money for the Group and act in a commercially focused manner at all times.
  • To work with Colleagues and external consultants to ensure that the Group's interests are preserved at all times.
  • Implementation/ application of the Group's policies, procedures and directives.
  • Provide support and guidance to the team as required and requested, to ensure that they fulfil the duties as outlined in their job description.
  • Approval of service charge budgets in accordance with the Groups procedures.
  • Approval of year end accounts.
  • Provide responses to Insurance Department disclosure queries.
  • Investigating and responding to Tenant complaints on behalf of the Area Office.
  • Management of all property records to ensure these are accurate and up to date at all times.
  • Preparation and collation of reports for the Board, Senior Management.
  • Management of all arrears across the wider portfolio, within the Area Office's control.
  • Management of rent reviews, lease renewals, break clauses and lease expiry dates.
  • Understand the various types of interest/ tenures that the Group holds and its obligations in respect of each (Freehold, Head lease, Lessee, Leaseback, Tenant).
  • Ensure the Team liaise with leaseholders, tenants, residents associations through general correspondence, emails, letters, newsletters, circulars, in a prompt and professional manner.
  • Prepare Tenant Handbooks in accordance with the Groups policies and procedures.
  • Attend residents' meetings as required.
  • Assist the Team in reading and interpreting leases to ensure that the portfolio is managed in accordance with the provisions of the lease.
  • Manage site staff (caretakers, porters), taking advice from Group Resources where necessary.
  • Maintain Property Records in accordance with the Group's policies and procedures.
  • Utilise the Group's Property Management Systems (Horizon) to run reports, input data, raise purchase orders, approve invoices etc.
  • Ensure the Team deal with Insurance Claims in accordance with the Group's procedures.
  • Ensure the Team undertake routine Property Inspections in accordance with the Group's procedures and identify any building defects/ maintenance issues and dealing with these accordingly.

  • Excellent verbal communication skills.

  • Excellent organisational and time management skills.
  • Ability to multi-task and work well under pressure.
  • Good IT skills and proficient in Outlook, MS Word, Excel, Horizon/Qube.
  • Good team player.
  • Confident in communicating with Colleagues at all levels within the business.
  • A commitment to providing high levels of service at all times.
  • Knowledge of legislation - understanding of relevant leasehold, Landlord and Tenant Act, Section 20 Notices and related lease restrictions and covenant issues.
  • Best Practice - knowledge and understanding of relevant Landlord and Tenant Act, RICS and ARMA Guidelines, Regulations and procedures.
  • Health & Safety - knowledge and understanding of Health & Safety regulations affecting blocks of flats and managed estates.
  • Minimum 3 years' experience in a similar role reporting to Senior Management.
  • Degree level, minimum A-levels grades A-C.
  • MIRPM qualified or similar relevant qualification i.e AssocRICS/MRICS/MIRPM.
  • Vast block management knowledge and experience.

Hours and Environment

  • Office Hours 9.15am to 5.30pm, Monday to Friday. Must be prepared to work outside of these hours if required.
  • Primarily based at the Area Office but may be required to visit other office locations on occasion.
  • Holiday entitlement 20 days per annum plus Bank Holidays plus additional Jewish Festival days.
