Our client is looking for an Estates Administrator to join their busy team. This role would suit a professional who is looking to grow within Block Management.
Hours: Monday - Friday (8.00am to 4.30pm)
Salary: £24,000 p/a
Location: Brentford
The Estate Administrator role will report directly to the Development Manager but will be expected to follow the procedures defines by the Estates Team and meet key performance indicators defined by the Company.
The principle tasks, centre on providing excellent customer service to internal and external clients, the administration of repairs and support to the Development Manager and Property Service Assistant.
Core Tasks:
- To act as first point of contact for estate/resident telephone enquiries and ensure all administration in relation to such enquiries is resolved.
- To act as "front of house" for the Estate Office, ensuring that all contractors working on site are signed in, issued with permits to work, signing in and out of keys and access fobs as appropriate.
- In conjunction with the Development Manager and Property Manager, to deliver excellent customer service forming relationships with internal and external clients alike, dealing with all tenants' queries and correspondence in a professional and timely manner.
- To act as the first point of contact for tenant's repairs, reporting to the Development Manager/Property Manager where necessary and adopting agreed procedures.
- To complete any actions at the point of notification.
- To check the quality of repairs carried out on site where requested by the Development Manager
- To assist as necessary with customers and employees who report 'Accidents' and ensuring these are escalated to management/the appropriate authority.
- Issue appropriate work permits to contractors.
- Accurate recording and updates on Property Management of new and amended information as and when received.
- Issue parking permits to residents and update electronic records accordingly.
- Greet all visitors to the estate office and assist them with their queries in the first instance.
- Provide day to day assistance to the development manager.
- Open and close the estate office.
- Answer the intercom system operating door and bollard entry.
- To populate and update, on a timely basis any databases and systems relating to the properties managed.
- Assist the Development Manager and other team members with any overflow of tasks and in doing so ensuring the continued professional and efficient service to our clients.
- To assist the Development Manager in ensuring that on site communication with tenants is regularly updated as required.
- You must conduct yourself at all times in a professional manner whether written, verbal, or face-to-face.
- Ensuring compliance with legislation relevant to Property Management.
- Continuously pursuing "Excellence in Customer Service", looking for ways and ideas to improve the Company's service, and accepting progressive change as a part of the office routine.
- Undertake training where required by the business and have an open approach to learning.
- To carry out such other tasks as the Development Manager or Property Manager may from time to time reasonably require
- To provide cover for Residential Estates Department and the Development Manager as required.
