We are working with a luxurious block situated in the heart of the West End who are looking to appoint an experienced Estate Manager to oversee the daily operations on site. The Estate Manager is responsible for overseeing cleaning, front of house services, proper maintenance, appearance, health and safety and smooth running of the Estate and its facilities.
Salary: £50,000 to £60,000 DOE
Hours: Monday to Friday, 9am to 5pm
Direct Reports: 9 in total, including an Assistant Estate Manager and Facilities Manager, plus Concierges, Cleaners and a Handyman.
Duties:
- Line management of the Assistant Manager and Maintenance Manager (Direct reports). Active input into the development and well-being of the wider team including Concierge staff, Handyperson and Cleaner. (Indirect reports).
- Writing and delivery of Annual Performance Reviews.
- Ensuring appropriate cover is provided for absent staff and completing return to work meetings.
- If necessary, providing cover at the front desk/reception area when Concierge are on Lunch or
- or are unexpectedly absent.
- Approving monthly rota, authorising annual leave, and processing overtime.
- Ensuring all training requirements are met (first aid for example) and that any training needs are identified and acted upon.
- To hold investigation/disciplinary meetings with any team member should they not meet/maintain the standards required of their role or breach their contract of employment, using strict HR protocol and assisted by APM as necessary.
- To act immedicably on any matters that may constitute gross misconduct.
- Ensure the appearance of staff is in keeping with their role.
- To promote a healthy and happy work environment.
Day to day responsibility for the management of the Estate, ensuring that the building and the facilities are well maintained and safe.
- To maintain regular inspections of common parts, plant room, car park and gym noting any issues immediately and booking contractors to attend if necessary.
- To make sure that all CCTV is operating correctly and undertake CCTV reviews when necessary.
- To ensure residents' storage, and contractors' storage, in the common parts and car park are in
- compliance with the Panoramic storage procedures.
- In consultation with the Managing Agent/Assistant Manager, ensure a properly planned maintenance schedule of all plant room equipment/common parts/external window cleaning etc.
- Maintain all records to ensure plant and equipment is serviced regularly, if not, report to managing agent.
- To be the principal on site contact for contracted staff, ensuring that they are fully briefed on
- health and safety issues and general building policy. To monitor contracted staff's work and
- behaviour.
- To maintain correct stock levels for office and cleaning materials.
Attend board meetings and prepare meeting minutes, as required.
- To organise postage and signatures of company documents such as Licences to Assign etc.
- To work with the managing agent on the preparation of the annual budget and monitor spend in line with projections/variance reports.
- To keep a record of all Company matters, always demonstrating organisation and discretion.
- To maintain a major work/project diary and liaise with the managing agent on timing and spend on said works.
Key skills:
- Minimum 3 years' experience working at Building/ Estate Management level on a high end luxury residence
- Ideally trained at IOSH or IRPM level qualified
- Strong organisational and multitasking skills.
- Effective communication and interpersonal abilities.
- Proficiency in using property management software and Microsoft Office Suite.
- Knowledge of leasehold and freehold property management practices.
- Familiarity with Section 20 notices and Health and Safety Regulations.
- Ability to work independently and as part of a team. Attention to detail and problem-solving skills.
