Summary:
After securing a fantastic new contract our Client is seeking a motivated Block Manager to join their team!
As a Block Manager, you will play a pivotal role in ensuring the smooth operation of our client's property portfolio. You will oversee various aspects of leasehold management, from inspections and maintenance to financial matters, insurance, meetings, and administration. The Role:
- Conduct routine property inspections and prepare detailed reports for clients, landlords, residents' committees, and insurance providers.
- Ensure compliance with Health & Safety Regulations and maintain accurate records of Risk Assessments, taking prompt action based on assessment findings.
- Collaborate with contractors to monitor contract compliance and inspect completed work.
- Coordinate maintenance activities for common areas, adhering to lease terms.
- Handle day-to-day repair requests and obtain competitive quotations for works exceeding £250.
- Organize additional provisions as per lease terms, such as signs and lighting.
- Manage external and internal decorations, plant, equipment, lighting installations, and water features.
- Oversee building management systems, car park management, refuse collection, and equipment testing.
- Arrange cleaning services and staff training
- Ensure Management Agreements are in place for all clients and developments.
- Prepare budgets for each property within the portfolio and secure budget approvals in advance of billing periods.
- Collaborate with clients and landlords to finalise service charge budgets.
- Manage insurance for Plant & Machinery, including periodic inspections.
- Ensure Directors of Residential Management Companies have or are offered Directors & Officers Insurance.
- Facilitate Legal Expense Insurance for Directors of Residential Management Companies.
- Offer Out of Hours Service to RMC clients.
- Handle insurance claims and ensure timely resolution in collaboration with the Insurance Manager
- Coordinate meeting notes and action items as per Management Agreement.
- Assist clients in arranging AGMs and prepare calling notices.
- Attend AGMs and EGMs when necessary.
- Distribute meeting notes to clients, landlords, residents' committees, and leaseholders.
The Person:
- Excellent understanding of property management principles, regulations, and best practices.
- Strong organizational and communication skills.
- Detail-oriented with the ability to maintain accurate records.
- Ability to work effectively with contractors and service providers.
- Proficient in financial management and budgeting.
- Knowledge of insurance matters related to property management.
- Willingness to attend meetings outside regular hours.
- Proactive problem solver.
- Familiarity with relevant legislation and industry guidelines.
- Customer-focused and professional demeanor.
