PMR is currently working with a large, high end residential development based in South West London who is seeking a Service Charge Accounts Assistant to assist and support the onsite Finance Team and General Manager in the effective management of the Estate by providing coherent and reliable administrative and accounting support.
Hours: Monday to Friday
Salary: £25,000 - £28,000 per annum
Duties:
- Managing electronic data and e-mails and ensuring that all residents' files are up to date.
- Maintaining all financial record within management and accounting software.
- Managing and processing purchase orders and supplier invoices.
- Assistance with signing off invoice for payment.
- Reconciling accurately expenditure and invoice allocation across the various schedules.
- Assisting with arranging payments to the suppliers and contractors.
- Renewing contracts and assisting in tender process when necessary.
- Liaising with consultants, contractors and suppliers where required.
- Overseeing and reconciling petty cash accounts on regular basis.
- Assisting with month and year end tasks.
- Providing assistance to your manager in routine calculations to produce analyses and creating financial reports on regular basis.
- Reviewing expenditure reports on monthly basis and assisting with re allocation of costs if required.
- Assisting with year end accounts preparation by assessing and preparing required documentation and reports to support accountants in preparing service charge accounts.
- Reconciliation of trading account and assistance with finance pack preparation for the accountants.
- Assisting with the production of the annual service charge budget and capital expenditure plan (Capex).
- Uploading budget into accounting system and raising service charge demands for distribution and payment.
- Assistance with the production of service charge illustrations for budget approval purposes.
- Liaising with leaseholders, estate agents and other parties involved with regards to service charge apportionment and costs and other relevant matters.
- Ensuring that allocation of payments received is done accurately.
- Reviewing arrears, raising reminders for payments and dealing with leaseholder queries concerning delays in payments of service charges.
- Assisting with instruction of solicitors and taking debt recovery action.
- Assistance with insurance claims and VAT returns where required.
- Supporting management to follow section 20 process and making sure all documentation is issued correctly and within the timescale set out.
- Adhering to the company's financial policies and procedures.
- Assistance with completing management pack and passing to solicitors when requested.
Desired Attributes:
- Previous experience of working in residential leasehold developments, providing day-to-day property management or service charge support.
- Previous background in finance - in particular experience of working directly with or an understanding of budgets, service charges and overall expenditure for developments and assisting with forecasts and reports.
- Excellent IT skills - in particular using Microsoft Excel.
- Knowledge of accounting procedures and concepts such as double entry, accruals and prepayments.
- Familiarity with code of ethics for accountants.
- Understanding of credit control/chasing arrears process preferable.
- Previous experience with any accounting or property management software.
- Previous experience of building and establishing relationships.
- Knowledge of the relevant Landlord and Tenant Act and RICS and ARMA guidelines.
