Description

The overall purpose of this job is to generate organic growth by securing new management instructions. The primary focus will be on cultivating an ongoing pipeline of instructions from developers, based on strong relationships and proven performance. In addition, you will seek instructions from RMCs/freeholders by generating leads in a systematic way and preparing amazing tenders and presentations. Your geographical focus will be driven by client relationships, but in general terms it would be expected to cover the North basing around the surrounding cities of Manchester. Following a new instruction, you will work with the mobilisation and estate management teams to ensure the development is setup perfectly for successful ongoing management.

The Role

  • Take a proactive approach to generating new developer, RMC & freeholder leads in target areas, utilising our planning portal and customer frameworks
  • Forge relationships with key developers and freeholders to ensure continued organic growth
  • Contact and follow up all enquiries and leads
  • Draft service charge budgets and an apportionments matrix based on information provided by developer/client
  • Prepare amazing, customised management tenders, presentations and take the lead in new client presentations that respond to the clients' needs
  • Visit potential sites and meet key decision makers to obtain information about services and requirements
  • Maintain an up-to-date database of leads and tenders, updating forecasts and providing monthly progress reports/meetings to Management
  • Maintain an up-to-date database of potential RMC clients by geographic region
  • Work collaboratively with other members of the BD team and estate management teams
  • Work collaboratively with the marketing team, providing well-written information/case studies that can be used in news updates to assist in generating new client interest
  • As the person responsible for winning the new instruction, noone will know more about this estate/client and their requirements - and the promises we have made - than you. While the mobilisation team will take the lead in co-ordinating the setup process, you will make sure that everything is set up perfectly from day one to ensure ongoing success and that the client is happy throughout the transition. You will introduce the ongoing Estate Manager (who will be responsible for day-to-day management) who will be in place from the outset
  • Conduct internal briefings to the wider Encore set-up team (accounts, operations, legal, estate management, mobilisation) regarding the new management instruction and set-up requirements
  • Set-up QUBE perfectly with all relevant information
  • Ensure signed Management Agreements are obtained
  • Prepare introductory letters/welcome packs and relevant budgets
  • Host/participate in introductory/handover lessees meeting/s (with Estate Manager) during the early stages of management, or throughout various phases of a phased development
  • Obtain all relevant & required information from the developer/outgoing manager and ensure all maintenance contracts are in place (in conjunction with mobilisation team)
  • Prepare job specifications and site team work schedules for site staff who may need to be recruited and onboarded, maintaining client involvement throughout the recruitment process
  • Work with solicitors as required during the setup of new developments
  • Arrange the appointment of resident directors (where required)
  • Prepare information for developers' handover packs (where required)
  • On rare occasions, you might have to help with management or shadow manage if an Estate Manager isn't available to manage the development from day one

The Person

  • 5 years+ relevant business development experience
  • A background in estate management is essential
  • A track record of successfully dealing with developers and winning new instructions is essential. Also, a background of securing RMC appointments is also essential
  • Preparation of first-class tender documents and service charge budgets on new developments
  • Strong experience of budget management, financial control and delivering cost-efficiency
  • Detailed working knowledge of building management, systems maintenance and repair projects (eg. communal heating)
  • Knowledge of relevant legislation (eg. Landlord & Tenant Act, RICS Code etc) and the legal setup and arrangements of new management companies
