- Description
Excellent opportunity for an Estate Manager to work client side for the developer at a brand new luxury residential development in East London.
Main duties:- Working closely with the pre-development team on day to day management of the developers portfolio.
- Reporting on and reviewing financials (Budgets, expenditure, Year-end Accounts, Debtors, Voids, Developer Liability)
- Work with the in house teams to ensure that Technical Strategies are reviewed and consideration is given to Design for Management (M&E, Window Maintenance/Replacement, Refuse, landscaping etc.)
- Oversee internal handover of new developments, always considering the Customer Journey – Inc. handover documentation / O&M’s, Snagging, Commissioning etc.
- Preparation of weekly and monthly Operation reports, Gantt charts and monthly Board Packs
- Oversee Managing Agents – acting Landlord for any queries (Licences, consents, lease enquiries, land registry etc.)
- Liaising with Solicitors on Lease agreements and set-up of commercial tenancies
- Ensure all developments are Health & Safety compliant
- Ensure all developments uphold the Presentation standards, carrying out regular Site inspections)
- Review Managing agent KPI’s and Management Agreements
- Ensure Major incident /Estate Plans and strategies are in place and regularly reviewed
- Prepare Draft Managing Agent Agreements
- Oversee any projects or major works in conjunction with the Agents
- Complaint handling
- Co-ordinate agent review meetings and document preparation and minute taking
- Oversee and co-ordinate Heating and utility management set-up
- Oversee department data management and document control (Sharepoint)
- Insurance handling, claims reporting and administrative management
- Agent, contractor and site staff liaison
- Reviewing department templates, procedures, managing agent handbook to ensure they are ‘live’ and relevant
- Invoice instruction, handling and ad-hoc administrative tasks
- Bespoke one off projects as deemed necessary
The person:
- Minimum of 3 years in residential property management, new build and mobilisation experience preferred
- Competence in operation computer, inc. Microsoft Office Word, Excel and MS Outlook. Must possess strong attention to detail
- Demonstrate an ability to support and contribute to a team
- Demonstrate strong oral and written communication skills
- Participate in training in order to comply with new or existing laws
- Demonstrate ability to diffuse and respond to customer concerns to avoid escalation
- Efficient time management and punctuality.
- May be required to occasionally work outside of usual office hour
- AIRPM or MIRPM qualification
