Role overview
Provide facilities and project management experience with additional health & safety / environmental skills to deliver strategic and tactical support to the business, pertaining to our responsibilities to customers and requirements under existing legislation, regulations and other statutory requirements. To be responsible for managing the facilities of a portfolio of buildings, providing excellent client and tenant service, and building administration.
This includes oversight and involvement in the following areas where support will be provided:
- Assist in managing the provision of hard and soft facilities management, refurbishment / refresh projects and monitor service providers and contractor's performance
- Work closely with the Health & Safety Team to ensure the effective delivery of facilities management operations for the complete portfolio including monitoring and implementing changes in legislation
- Line management responsibility for appointed team members
Responsibilities
- Monitor and control expenditure of materials/provisions and contracted services
- Ensure compliance with all contractual/statutory/mandatory undertakings associated with the delivery of comprehensive facilities management services
- Set and maintain high standards for facilities / health, safety and environmental management throughout the business
- Assist in managing portfolio Statutory Maintenance obligations alongside site General Managers
- Assist in managing portfolio Reactive Maintenance works alongside site General Managers
- Ensure property databases remain up to date
- Inspect all properties on a monthly basis, although site conditions may dictate a higher frequency than prescribed. In the event of emergency situations, act as first point of contact, attend the property as soon as feasible and report back to relevant personnel
- Source quotes for insurance claims purposes, instruct and manage repairs and maintenance using the relevant client systems
- Review on a weekly basis open maintenance jobs and ensure these are closed out in accordance with KPI's
- Evaluate existing contractual relationships and ensure that the service provided by contractors, is in line with the agreed specification. Ensure that any shortcomings in service delivery are dealt with swiftly and reported back to the General Manager and Head of Property
- Monitor contractor performance and quality of works conducting random spot checks, providing feedback on performance via the relevant CAFM systems and service line champions
- Liaise with site staff regarding any risk assessment actions raised, provide support and guidance to ensure they are closed within the relevant timescales to a satisfactory manner
- Production and co-ordination of information, in line with client requirements
- Manage and liaise with all management, technical and administration staff, on strategic and operation/service delivery issues
- Establish and implement best practice, whilst ensuring safe working practices are complied with at all times
- Ensure appropriate, clear communication lines are established and maintained with all relevant parties, to include property managers, accounts team, residents, suppliers and clients
- In the event of emergency situations, to act as first point of contact for the Helpdesk, attend the property as required and report back to relevant personnel, whilst co-coordinating third party stakeholders, to reach a speedy resolution
- Support on or lead with mobilisation of any new sites. Setting up services and contracts demonstrating value for money and best service for our clients
Candidate Requirements
- IOSH or NEBOSH qualified
- Conversant in use and application of FM Software Systems
- A working knowledge of legislation in regard to The Housing Act and the Building Safety Act
- A full driving licence and eligibility to drive in the UK is essential
- Commercial acumen and communication skills, both verbally and with written reports
- Strong negotiation skills
- Excellent ability to problem solve and multi task
- Self-motivated, self-starter with ability to influence others at all levels
