PMR are seeking an experienced Personal Assistant/Team Coordinator. The purpose of the role is to assist and support in all areas of the operational business, providing excellent assistance and administration service to the Managing Director and wider team. This will involve liaising with external customers and stakeholders, and other internal teams. Ensure all data collected, reports and KPI information are up to date and accurate at all times, and using excellent record keeping skills to ensure a full audit trail exists. Complete a range of ad-hoc support and administrative tasks as well as offering suggestions to continually improve the business and the service we offer.
* Diary management for the Managing Director and team across the group.
* Organise meetings and events as required, including organising travel arrangements and accommodation, drafting agendas, booking rooms and refreshments, collecting visitors, and taking and recording minutes.
* Undertake research and projects or administrative and clerical tasks for the team, HR and working with other EAs across the group, as necessary.
* Act as a lead coordinator/ project manager for any third-party mandates and prepare presentations and reports when required.
* Lead on coordinating and producing monthly Asset Management reports and WOL Board meetings.
* Support and attend site meetings (when required) during mobilisation stage of new buildings to ensure actions are followed and completed.
* Coordinate Learning & Development activities alongside HR and Brand team.
* Working with number of Committees within the group to shape our corporate objective, I.e. Inclusion and Diversity, Charity committee and relevant groups.
* Assist with renewals and new lets during the let-up period of the new buildings and busy periods for the business. * Ensuring all the deadlines/milestones met in line with the requirements.
* Ensure the complaints database is kept up to date and all complaints are acknowledged and responded to on time and prepare complaint packs from reviews.
* Record and report on all compliments and complaints received by the team.
* Assist the team with any customersatisfaction surveys and feed results back to the team for follow up.
* Supply reports/information to external stakeholders as and when required.
* Answering the phone and dealing with enquiries.
* Arranging away days and workshops for the team ensuring minutes and actions are followed up.
* Complete contract variation requests by on-site team.
* Be a lead person for recording any GDPR related matters and liaising with Compliance Officer.
