- Hours of Duty: 7am to 7pm (12 hours)

Job Summary:
- To assume a residential on-site role and provide a prominent point of contact for the residents/visitors and contractors and their needs.
- To ensure that the property is run smoothly and to provide a secure, safe presence and administration assistance where necessary. The front of house position will be predominantly situated at the main reception desk.
- To provide high level customer service to all residents, visitors, and contractors at all times.
Working Conditions:
- This is predominantly a front of desk position. To assist the residents, visitors and the managing agent where necessary except when carrying out any required work within the building.
Responsibilities:
- To provide all necessary services to the residents as per the instructions of senior management.
- To communicate efficiently with all other members of staff, the residents, guests and onsite
contractors.
- Responsible for the welcoming residents and guests to the property.
- Responsible for the light cleanliness and comfort of all reception/foyer areas and common parts at all times.
- Overseeing contract cleaners for the internal and external common parts of the block and ensuring standards are met and maintained.
- To respond proactively to resident requests and in a timely and polite manner.
- During working hours, you will be located at the reception desk except when carrying out any required work within the building.
- You will be required to carry out inspections of the common areas of the building as per requirements set by the Property Manager/Senior Management. At the end of your shift, you must ensure the property is kept clean, tidy and that all electrical/ technological appliances are always in good working condition.
- At all times you are to ensure the security of the development is not jeopardised in any way.
- You are always to assist residents together with their guests and visitors when and where required. It should be remembered that your duty is to the residents, however, please note that any assistance given to any individual should not distract from your duties required to the whole development/its common parts.
- To receive and distribute all undeliverable packages. All registered mail and deliveries should be logged before distribution to the individual apartments.
- Ensure that you are always courteous, polite and positive to residents, guests, suppliers and the public in general.
- To monitor all persons at the property and ensure they have a right to be present.
- To answer the telephone and deal with general enquiries. To log messages, requests & events.
- To monitor the presence of workmen working within the building and supervise their activities to ensure minimum disturbance to residents.
- Co-ordinate access and building systems from front desk suite and monitor and react to alarms as directed.
- Liaise with Emergency Services as required.
- Log and report any incidence of disrepair by using the appropriate procedure / tool at your disposal. Immediately inform senior management of the incidence. This should include all building defects, plumbing, heating and lighting in the common parts, during working hours. Where such defects are considered an emergency, they should be reported to senior management immediately.
- Report and monitor Health & Safety issues and ensure a safe working practice is adhered to.
- Carry out communal lighting inspections of the building and replace or report any defective bulbs. You are only permitted to replace bulbs following current Health & Safety regulations for working at height.
- To collect, securely tie, refuse sacks if found on inspection walk through and place in the bin's storage areas provided in the communal parts. No bags or rubbish should be left in the common parts over night or for a long period of time.
- Ensure that all spillages and rubbish is cleared away immediately and that all areas of the building (principally the concierge and all foyer areas) are always immaculate.
- Carry out any additional duties as directed by senior management.
- Be flexible and have a hands on approach. Please offer help and assistance to others where you can.
- Supervision of all visiting tradesmen and contractors whether working on the estate or within individual properties, and reporting any concerns to Line Manager.
- Deal with resident`s complaints, disturbances, and emergencies in an appropriate and efficient manner. Report any matters and escalate to the Managing Agents.
- To undertake a daily inspection/walk around of all common areas and to effectively log and monitor site conditions, producing daily reports at the end of the day to the Managing agents. At the end of your shift, you must ensure the property is kept clean, tidy and that all electrical/ technological appliances are always in good working conditions.
- Generally perform such duties as the managing agents and the client feel are in the better interest of the estate. The above list is not exhaustive and is given as a guide.
- You may be required by the Managing Agent to undertake other reasonable activities at the property.
- To collect, securely tie, refuse sacks if found on inspection walk through and place in the bin's storage areas provided in the communal parts. No bags or rubbish should be left in the common parts over night or for a long period of time. Report to senior management any fly tipping in bin/bike stores and items stored in riser cupboards and hallways/stairwells.
- Sweep/Collect all loose rubbish/leaves from the ground around the estate, car park areas, bin stores, podium levels, foyers and lifts.
- Ensuring all external/internal/riser/fire exit and bin store doors are kept closed, and where applicable locked at all times.
- Monitor car parking. Noting unauthorised vehicles, take appropriate action with enforcement agents. (Persistent offenders to be reported to the Managing Agent). Ensure access is possible for emergency vehicles at all times.
- Patrol external areas (when dark) - check possible areas for vagrants and checking for any estate/external lighting that would have blown on the walkways/lobbies/podiums and all external areas.
- Inspect common areas for any obstructions or hazards and ensure appropriate action to remedy. (I.e. either speak directly with the resident concerned or the Managing Agent.)
- Clean glass/mirrors within lift carriages (where needed)
- Ensure that the concierge desk/kitchen/bathroom and parcel storage rooms are clean and tidy at all times.
- To check the operation of the lifts in each block, routinely and report any faults to the Managing Agent.
- Carry out maintenance work around the development as instructed by management, providing you are competent.
- To be the responsible person for the management of CCTV footage retrieval (as requested by the agent and if applicable).
- To be the responsible person for the use of any parcel management system (if applicable).
- To be the responsible person for programming resident and management/contractor fobs (as requested by the agent and if applicable).
Person Skills Profile:
- Experience in hospitality / concierge.
- Confidence and discretion to be used with high profile residents.
- Ability to take ownership of an operation when alone.
- Professional, precise, courteous and dedicated.
Career Experience Required:
- Experience in a front of office/concierge role.
- Experience and involvement with a facilities management role.
- Basic / Intermediate IT skills.
- Concierge / PA skills.
- Event management experience.
- SIA training would be beneficial but not a requirement
