Job Description

Our client is seeking an Service Charge Accountant/Assistant Property Manager to support the Estate General Manager in the effective management of the Estate by providing efficient and accurate administrative support for the day to day running of the site operations and Management Company at a large luxury residential scheme based in South West London.

General Accountabilities

Role Specific Accountabilities

  • Assist with the production of the annual service charge budget, capex plan and management accounts.
  • Ensure that relevant Service Contracts and Annual Orders are in place.
  • Process and manage purchase orders and supplier invoices.
  • Reconcile expenditure and invoice allocation across the various schedules.
  • Assist with month and year end tasks.
  • Assist with any HR & Payroll processing .
  • Assist with Credit control and service charge arrears .
  • Perform routine calculations to produce analyses and reports.
  • Assist the Estate General Manager in creating financial reports on a regular basis.
  • Adhere to the company's financial policies and procedures.
  • Answers questions and provide assistance to residents, customers, and clients as needed.
  • Attend finance committee and company meetings, sometimes assisting with financial reporting to managers and senior directors.
  • Regularly review service contracts, agree service levels, identify necessary preventative maintenance measures, and pre-authorise expenditure within agreed parameters (certainly within the confines of the 'Section 20' thresholds for works and long-term agreements).
  • Undertake regular basic risk assessments.
  • Review Health and Safety reports (fire risk assessments, water hygiene, asbestos, lift engineering reports, etc).
  • To ensure all work complies with all covenants in the 999 year head leases, all legal duties and obligations whether imposed by statute or otherwise, including any regulatory requirements.
  • Liaise with Health and Safety consultants and contractors, where required.
  • Attend meetings/ AGM (some out of hours).
  • Manage electronic data and e-mails and ensure all resident files are updated.
  • Manage petty cash accounts and staffing records (sickness, absence, rota's etc.) for the site, ensuring that records and documentation are up to date, ensuring all records and work documents are kept electronically and physically in a filing format easy to search.
  • Deal with leaseholder queries verbally and in written form.
  • Assist with on-site staff and related staff issues and pass on to Management or HR.
  • Liaise with credit control functions/solicitors to ensure arrears target are achieved.
  • Circulate information to residents concerning management issues.
  • Monitor insurance claims and liaise with the insurance broker to ensure that claims are correctly placed or closed
  • Deal with any other property issues that may arise within the team.

Experience required

  • Previous experience of working in residential leasehold developments, providing day-to-day property management support.
  • Previous strong background in finance - in particular experience of working directly with or an understanding of budgets and overall expenditure for developments and assisting with forecasts and reports.
  • To understand the major works process and the Section 20 consultation processes.
  • Knowledge of the relevant Landlord and Tenant Act and RICS and ARMA guidelines.
  • Previous experience of building and establishing relationships.
  • Excellent IT skills - in particular using Microsoft Excel.
  • The ideal candidate would be an IRPM associate (or willing and able to undertake this within your first year of employment).
