Job Description

Our client are currently seeking 2 Live-In Building Managers to oversee the day to day running of a luxury residential apartment building in South West London. The position comes with a spacious studio flat with all rates and utilities paid for.

Job Description:

Resident Managers provide critical hands-on leadership in a residential rental building. With the direction and support of an Asset Manager, the Resident Manager is responsible for the overall performance of the property by maximizing profitability and maintaining corporate standards within established operational and budgetary objectives. This includes effective marketing, efficient administration, expense control, income maximisation, ensuring the proper physical maintenance of the building and surrounding property and daily management and training of support staff. The Resident Managers are required to live on-site and work flexible hours including month end and on-call requirements. The Resident Manager is responsible for fostering and maintaining a friendly and professional environment for residents, prospects, service providers and contractors. The duties of a Resident Manager are broken down as follows:

Business Development and Marketing

  • Conduct monthly market surveys and have a thorough understanding of competition and current market conditions
  • Hold open houses and undertake external business development activities
  • Recommend rental rates to asset manager for available units and lease renewals
  • Actively promote various referral programs

Customer Service

  • Greeting and interacting with residents in a customer friendly and professional manner in person and on the phone
  • Organise, promote, and conduct resident events
  • Ensure resident issues and service requests are addressed within 24 hours
  • Promote a neighbourly and community atmosphere
  • Undertake programs to recognise long term residents
  • Seek ways to exceed service expectations of residents

Exterior Duties

  • Snow and ice removal, salting of all entrances, walkways, and rooftop accesses, and maintenance of snow removal log books
  • Handling of general waste and recycling bins
  • General maintenance of underground garage and parking levels, service rooms, foyers, patios, and rooftops (where applicable)
  • Watering of gardens and lawns
  • Picking up litter around exterior of property and detect any serious deficiencies about the appeal of the building or hazards to residents

Interior Duties

  • Vacuuming, sweeping, and mopping of carpeted or tiled common areas
  • General maintenance of common areas (lobbies, lifts, hallways, stairwells, windows) and amenity areas (laundry rooms, swimming pools, recreation rooms)
  • Dusting and cleaning of fire hose cabinets and bells and lift tracks
  • Maintenance and cleaning of rubbish chutes, rubbish rooms (walls, floors), recycling rooms
  • Knowledge and understanding of the Control of Substances Hazardous to Health (COSHH)

Vacant Units

  • Thorough cleaning of all appliances, floors, walls, windows, kitchen, washrooms, and balconies
  • Repair of minor maintenance items (i.e. Light fixtures, vents, filters, plumbing fixtures)
  • Disposal of rubbish and old/broken appliances

Letting & Administrative

The position requires that one (1) member perform letting and administrative duties as follows:

  • Show and sell flats to prospective tenants
  • Process resident applications including completion of background and credit checks
  • Ensure rents are collected and deposited on a timely basis
  • Negotiate tenancy renewals in conjunction with established targets
  • Utilise property management software to record transactions and run various operating reports

Property Maintenance

  • Thorough knowledge of all maintenance systems (pumps, emergency generators, HVAC, boilers, chillers, swimming pool, sprinklers, etc.)
  • Coordination of check-out and month-end duties and responsibilities.
  • Oversee contractors for health & safety, fire systems, water systems to ensure required maintenance and repairs completed properly
  • Assist asset manager and construction manager with managing execution of the annual capital plan and identifying current or future physical issues for repair
  • Supervise staff, service providers and contractors and oversee quality of work performed
  • Review and approve invoices for payment to contractors for services appropriately completed

Skills and Experience Required

  • Background in residential property management or related business experience (office administration, skilled-trade, handyperson)
  • Strong customer service and selling skills
  • Excellent communication skills to deal with residents, applicants, colleagues and contractors
  • Management skills to coach, train, and motivate staff and develop a team environment
  • Maintain a professional and presentable appearance at all times
  • Basic computer and keyboarding skills
  • Ability to perform minor repairs and aptitude for mechanical systems
  • Demonstrated cleaning skills
  • One individual must be able to lift and push heavy objects, including garbage bins furniture and appliances or perform snow removal duties, sometimes for extended periods of time
