Job Description

My client is seeking a Receptionist/Front of House Assistant to work at a Build to rent scheme based in East London. Hours of work: Monday - Friday 1pm - 10pm

Main duties:

  • Welcoming visitors to the building in a courteous and helpful manner.
  • Inbound phone calls. Taking and passing on messages.
  • Managing walk in applicants.
  • Taking delivery of post and distributing to Residents.
  • Occasional viewings should Lettings Manager/Negotiator require assistance (full training will be provided).
  • Responding to Resident queries promptly by telephone and email.
  • Redirecting phone and email applicant enquiries to Lettings Manager/Negotiator, or taking messages if they are not available including full applicant details and search criteria.
  • Entering applicant details into OS (Yardi) at first contact.
  • Ensure data is accurately entered into Yardi and assisting the team with client reporting based on this information.
  • Logging the distribution of necessary equipment for the use of Residents i.e. Playstation4, pool balls and cues etc. Ensuring items are returned in good order after Residents have used communal spaces.
  • Scheduling Resident arrivals and departures and associated activities. Taking payment for upfront cleaning charges and liaising with Finance accordingly.
  • Maintaining logbook of current and past contractors and onsite visitors.
  • Key management including creating key cards for new tenancies, receipting key cards for old tenancies and tracking existing keys cards logged out to Residents and contractors.
  • Ensuring stocks of key cards are always available for guests and contractors at all times.
  • Assisting the RSM with Resident event planning, management and execution.
  • Assisting RSM with creating and conducting tenant surveys.
  • Engaging with the local and Resident community to increase exposure of Pioneer Point.
  • Newsletter content and publishing in conjunction with the RSM.
  • Arrears chasing as instructed by Finance/GM/RSM.
  • Processing PDQ payments.
  • Updating Local Authorities in writing where appropriate with new Resident details to ensure council tax bills are transferred. Requesting/processing bills for void periods obo client.
  • Logging reactive maintenance enquiries and passing them onto second FOH /RSM.
  • Carrying out check ins and check outs (using iPad and specialist software) for tenancies and distributing reports to Residents when complete. Providing reports to Lettings Administrator once complete.
  • Making any requested amendments to check in documents as requested by tenant or Lettings Administrator.
  • Booking pre- and post-tenancy cleans upon instruction of RSM.
  • Office and kitchen supplies stock management to include loading and unloading dishwasher on a daily basis (office cleaner will take care of the rest).
  • Assisting other FOH where necessary.
  • Ensure comprehensive handover at the end of all shifts.
  • Other ad hoc duties as required.
