Job Description

Our client is currently seeking a Lettings Administrator based in Ilford. Working hours are 9am-5pm working from Monday to Friday. This position requires previous lettings experience as the successful candidate will be responsible for tenancy agreements, renewals, deposit registration and release etc.

Responsibilities of the Role

To deal with all aspects of lettings administration and lettings compliance to include:

- Providing first class customer service to residents and applicants.
- To ensure updates for lettings and rental data is thoroughly kept up to date and accurate at all times.
- Completing new let paperwork in line with strict procedures to include:
- Entering tenant details onto OS;
- Raising and sending reservation fee, initial monies and deposit invoices;
- Liaising with Finance with regards to receipting new deal monies from tenants;
- Offer letters;
- Drafting tenancy agreements;
- Instigating and monitoring referencing process;
- Carrying out Right To Rent checks in accordance with legislation and company policy;
- Providing necessary documentation at tenancy start i.e. How to Rent leaflet, deposit protection documentation, EPC etc.
- Chasing completed paperwork;
- Registering deposits;
- Providing all documentation to FOH Admin for new tenancies for handover during check in;
- Exchanging new deal paperwork and completing file in accordance with company policy;
- Sending check ins to tenant once completed by FOH OM;
- Scanning documentation into system and linking to OS;
- Upload tenancy details into OS.
- Co-ordinate renewal communications and negotiations to include:
- Running monthly renewal reports and liaising with Manager regarding client requirements;
- Contact tenants regarding renewal in line with company process;
- Negotiating terms in line with client and company requirements;
- Drafting renewal paperwork and ensuring documents are signed, exchanged and completed in a timely manner;
- Ensuring Right to Rent checks are carried out where necessary;
- Providing necessary documentation at renewal i.e. How to Rent leaflet, deposit protection documentations, EPCs etc;
- Serving Section 21 notices upon instruction from the client, in line with company procedures.
- Transferring tenancies where requested and approved by client.
- Confirming receipt of tenant notices, advising FOH OM of tenancy termination dates and liaising with tenants regarding arrangements for the end of their tenancies.
- Liaising with FOH OM to ensure check outs are completed;
- Sending check outs to tenants and negotiating deposit releases at end of tenancy.
- Releasing deposits.
- Ad-hoc projects provided by the Lettings Manager and General Manager.
- Provide first class customer service to residents and applicants.

The above is not an exhaustive list of duties and the individual will be expected to perform different and additional tasks as necessitated by the evolution of the role within the asset.

Previous Experience

- Relevant experience within a busy lettings environment essential
- Good understanding and knowledge of lettings best practice essential
- ARLA qualified preferred but not essential
