Our client is currently seeking an on-site Building Manager to oversee the day to day smooth running of a luxury residential apartment building in Westminster. Working hours are 8am-6pm working from Monday to Friday.
- To manage all operational aspects of the properties that have been allocated and will be responsible for.
- To provide a secure and safe environment for the residents, commercial tenants and staff at the property.
- To develop and maintain service orientated culture amongst the staff and contracted service providers.
- To support the properties of activities to enhance the lifestyle of residents based around the communal facilities.
- To manage and supervise the in-house staff and oversee the work of the in-house operations teams and external contractors.
- To ensure the property is maintained to the high standard commensurate with the client's portfolio status and value.
- To ensure compliance with any Health and Safety requirements.
Duties and Responsibilities:
Ensure all functions within the properties are operating efficiently and effectively within agreed parameters. Agree and monitor KPI's in respect of operations e.g. security, maintenance, cleaning, resident's communal spaces, check in and out of tenants. Oversee the provisions of operating procedures across all activities. Undertake regular reviews of best practice in respect of site operations in conjunction with service providers.
Oversee the activity of the concierge and security teams to provide a safe environment. Oversee the management of information to all residents.
Oversee a supportive and sympathetic front of house service to residents and respond to all tenants' complaints in line with the complaints procedures. Deal with minor breaches of leases or estate relations directly with residents and report major breaches to the Head of Property Management.
Understand the workings of all appliances and equipment within each dwelling so this knowledge can be imparted to each tenant as and when required. This should include general knowledge of faults, so these can be rectified easily.
The properties may have several communal facilities this will need to be overseen, coordinating of activities within these facilities and link with the commercial operations onsite to enhance the lifestyle experience of residents. In conjunction with the Head of Property Management look to develop further concierge based services.
Ensure that all records with regards leases / tenants are held securely on site (or otherwise) and are in compliance with Data Protection. Maintain records and administration systems in respect of site activities, as determined in conjunction with the Head of Property Management.
Staff and Contractors
Oversee the management of directly employed staff and external contractors attending the properties. Ensure that staff wear appropriate uniforms / PPE where applicable.
In conjunction with the Head of Property Management ensure that the maintenance of the properties is undertaken in accordance with PPM and CAPEX plans through the in-house teams and contracted service providers. Deal with day to day repairs and maintenance promptly and efficiently. Advise on major contract work and use of specialist professionals and contractors.
Health & Safety
Be fully familiar with the corporate H&S policy. Ensure that risk assessments are in place and updated in accordance with legislation / best practice. Ensure that in house and external service providers are working within the property H&S frameworks. Have a key involvement in disaster recovery and contingency planning.
Ensure that records are maintained, and testing is carried out to ensure properties are fully compliant.
Develop and maintain links with local stakeholders such as emergency service, local authority departments, commercial tenants/entities etc.
Present a monthly report in respect of the performance and function of the development to senior management.
Be familiar with all relevant legislation to the management of the properties and in conjunction with the Head of Property Management to look to develop an operation that seeks to equal / surpass best practice.
Previous experience managing luxury residential apartment buildings is essential. The successful candidate must be able to provide excellent references and be willing to undergo full vetting checks.
