Our client are currently looking to recruit a Facilities Coordinator for a residential development based in Kensington
To ensure that the property is run smoothly and in accordance with the operational protocols.
The Facilities coordinator will be required to ensure the security of the Residents, to carry out daily building checks with particular emphasis on fire risk, health & safety and contractor management.
To arrange access to the buildings for all contractors.
To be courteous and helpful to all occupiers as well as to members of the public, staff, guests and contractors.
To monitor and review all logs and systems of record keeping.
To deal with administrative matters relating to any of the buildings.
To work closely in co-operation with the Asset Manager, keeping them informed of events and issues, which affect the building.
To provide written reports to the Asset Manager as and when required.
To assist the head porter with the distribution of post where necessary.
To assist the Asset Manager in the development and implementation of new or revised procedures, as required.
To be responsible for all matters of a health and safety nature relating to the buildings. This includes assessing training needs, maintenance of log books, accident reporting procedures, compliance with COSHH regulations and contractor permit to work procedures.
To keep up to date with current and new Health and Safety legislation.
To carry out daily building checks during the shift to ensure the cleaners are carrying out their duties in the correct manner.
To liaise with cleaning staff to instigate corrective measures or procedures.
To maintain records of central stores for the building in a well organised way, ensuring that the appropriate quantities of materials are maintained at all times.
To ensure that all contractors service books and health and safety logs are kept up to date.
The facilities coordinator is expected to be flexible and undertake reasonable additional duties as required. To communicate in a timely manner, effectively and professionally with residents, resident associations, contractors' and visitors.
Attend the appropriate meetings with the client, residents' and contractors. Minutes produced and circulated as required.
Ensure that all Health Safety and Environmental issues are managed in line with company procedures and any electronic Health and Safety management system. This includes operating a permit to work process for landlord and customer works.
To ensure all paper work relating to health and safety is update and compliant with the managements Best Practice.
To maintain a high level of professionalism and continually deliver service to exceed client satisfaction levels.
To carry out any other reasonable task at the request of your line manager.
To ensure the building's procedures are continually updated
To assist the head porter with all necessary porter duties, these duties include, but are not limited to: carrying luggage / packages for residents, running errands, cleaning duties as and when required, any other physical activity as required (reasonably).
To answer the telephone and deal with general enquiries.
To log and deal with any items of disrepair and keep residents informed where necessary.
