Job Description

Our client requires that a site based Estate/ Building Manager is to be based at a new development in Bristol in a dedicated office space, provided as part of the build. A reasonable rent will be paid to the landlord of the office space, recovered via the service charge. This member of staff will be an employee the appointed Management Company.

Estate / Building Manager Responsibilities may include:

1. Work with and closely supervise contractors appointed to attend to maintenance and repairs issues
2. Arrange and oversee maintenance contracts such as cleaning and gardening
3. Coordinate and supervise repair works
4. Undertake regular property inspections
5. Meet with residents and lessees including Housing Association representatives on a regular, diarised basis
6. Monitoring service charge collections and monies held within the property's dedicated bank account
7. Instigate actions against any breaches of estate/ block rules and regulations
8. Work with the Estate and Block Management Companies to create an efficient and well run development - advising and recommending changes and improvements and informing of legislation that affects the properties in management
The Estate Manager will have the support and back up of the Managing Agents office based team. This includes qualified solicitors, building surveyors, the facilities management team and accounting experts.

Communications with Residents On completion of a purchase, the lessee will be provided with a "Welcome Pack" which will provide the following information:

1. Contact details of the Estate Manager and their role
2. Details of what items their service charge contributions cover
3. Details of their heating and hot water contributions
4. Instructions on the refuse strategy
5. Instructions on the fire strategy
6. Instructions on the flood evacuation strategy
7. Instructions on the secure by design strategy
8. Details of the cleaning and maintenance strategy
The site based estate manager will hold meetings prior to the handover to allow new residents the opportunity to meet the person managing their development and will have the opportunity to ask any questions concerning the management of the development.

Depending on the Memorandum and Articles of the Estate and Block Management companies, the companies will be involved with the handover of Directorships to the lessees which will involve extraordinary meetings. Following the transfer of Directorships to the lessees the Estate Manager will hold residents meetings as instructed by the Directors.

The Estate Manager will also communicate with the residents by letter, email, newsletters, residents portal and social media such as, Facebook, Twitter and LinkedIn. Through website, property owners will have secure access to their individual property accounts as well as been able to view other documents and report any issues affecting their development.

Working hours will be Monday to Friday - 08.00am - 17.00pm
