Job Description

We are currently seeking Estate Managers for a number of residential schemes across London, NW, SE, E & West London

As Estate Manager you would be the managing agent's representative on site and take responsibility for the Security, Health & Safety and overall management of the development.


Undertake a detailed inspection of the whole development each day and record matters requiring further action and attention within the Duty Occurrence Book.

Task and monitor the duties of estate based staff to ensure that work specifications and service levels are met. Clear and specific instructions should be issued to estates staff with joint review of efforts to ensure an appropriately proficient outcome.

Monitor the performance of regular routine contractors (e.g. grounds maintenance and communal area cleaners).

Liaise with residents / contractors regarding routine repair and maintenance requests. Monitoring work to completion.

Assist with planning, specifying and tendering cyclical maintenance, major repairs and routine contracts (e.g. internal and external redecorations, roof replacement, etc.). Assist in monitoring works to completion; liaising with residents / contractors / specialist advisers as appropriate.

Monitor to completion insurance claims. Liaising with residents / contractors / Freehold Managers, insurers and managing agents as appropriate.

Ensure that correspondence, emails and telephone calls are responded to within timeframes as set within the managing agent's published Customer Service Charter.

Assist the Property Manager regarding breaches of the lease, nuisance, Landlord and Tenant legislation, general requests, queries, etc. Liaise with residents / Committee / specialist advisers as appropriate.

Assist with arranging audit of the accounts for the development as soon as practicably possible after each year-end. Liaise with Auditors / Committee as appropriate.

Assist with preparing a service charge estimate in advance of any annual meeting calculating the service charges for the forthcoming financial year.

Assist with the collection of service charges and other payments required by the lease. Instigate arrears procedures when required.

Assist with the authorisation of invoices and the payment of contractors.

Undertake other general duties as required from time to time commensurate with the management of residential property in accordance with industry best practise.

Person Specification

You will have had previous experience managing a sizeable residential development and have the following skills,

Firm, yet diplomatic personality
A Health & Safety Qualification (e.g. NEBOSH or IOSH)
Staff management skills
Service charge accounting and budgeting
