Job Description

Our client is currently seeking an experienced Building Manager to oversee the day to day running of a luxury residential apartment development in Liverpool.

GENERAL DESCRIPTION:
The Building Manager will be responsible for overseeing the day to day management of the luxury residential apartment development. An exceptionally high level of customer service and ability to manage a variety of projects is required to ensure that services are delivered with flawless precision.

DAY TO DAY DUTIES:
1. Undertake a detailed inspection of the whole development each day and record matters requiring further action and attention within the Duty Occurrence Book.
2. Task and monitor the duties of estate based staff to ensure that work specifications and service levels are met. Clear and specific instructions should be issued to estates staff with joint review of efforts to ensure an appropriately proficient outcome.
3. Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement with staff.
4. Ensure appropriate training and compliance with Health and Safety and employment legislation.
5. Monitor the performance of regular routine contractors (e.g. Security, Caretaker and Communal area cleaners), checking that agreed work has been completed satisfactorily and follow up on any deficiencies.
6. Liaise with residents / contractors regarding routine repair and maintenance requests. Monitoring work to completion.
7. Assist with planning, specifying and tendering cyclical maintenance, major repairs and routine contracts (e.g. internal and external redecorations, roof replacement, etc.). Assist in monitoring works to completion; liaising with residents / contractors / specialist advisers as appropriate.
8. Monitor, liaise with various parties and scrutinize all apartment alterations requests prior to consent being granted. Ensure strict adherence to the rules set out to contractors and residents to minimize disruption to all other parties and to
ensure the building is kept secure throughout the works.
9. Monitor to completion insurance claims. Liaising with residents / contractors / Managing agents and other stakeholders as appropriate.
10. Ensure that correspondence, emails and telephone calls are responded to within timeframes as set within the managing agents' published Customer Service Charter.
11. Actively take action to remedy breaches of the lease, nuisance, Landlord and Tenant legislation, general requests, queries, etc. Liaise with residents / Committee / specialist advisers as appropriate.
12. Assist with arranging certification of the accounts for The Colonnades as soon as practicably possible after each year-end. Liaise with Accountants / Committee as appropriate taking into consideration associated KPIs agreed between the Landlord and managing agents.
13. Assist with preparing a service charge estimate in advance of any annual meeting calculating the service charges for the forthcoming financial year.
14. Assist with the collection of service charges and other payments required by the lease. Instigate arrears procedures when required.
15.Manage the authorisation of invoices and the payment of contractors, verifying that invoices and requisitions for goods and services.
16.Ensure that staff hours are factually recorded and presented to Head Office in a timely and consistent manner to accommodate payroll cutoffs.
17.Ensure that the relationship with our client remains on excellent terms with all targets and instructions being attended to with vigor, accuracy and an appreciation for all stakeholders.

Previous experience working in residential apartments is essential. The successful candidate must be able to provide excellent references and be willing to undergo full vetting checks.
