Job Description

Our client is seeking an experienced and customer focused Building Manager to oversee the day to day management of a luxury residential apartment building in Kensington. Working hours average at 40 hours per week on a 3 weekly rota.

Responsibilities:

Customer Service/Relationship Management
- Support the optimisation of occupancy and customer/resident retention
- Deliver a high level of customer service to our residents, in a professional and pro-active manner reflecting the values and standards of the Company at all times
- Proactively engage with residents and stakeholders, ensuring that they are fully updated on all building related matter
- Deal with resident and prospective resident enquiries in a timely manner, both verbally and in written form.

Brand & Reputation
- Present a professional image, acts as an ambassador for the brand, reflecting the values and standards of the Company at all times to reflect London's finest apartments.

Community Relations & Networking
- Liaise with colleagues and ensure relevant parties are kept updated
- Establish positive working relationships and communications with colleagues, customers, residents, suppliers and other third parties.

Property Management
- Acts as the first point of contact for the residents in respect of day to day maintenance requests.
- Liaise with the Property Management Team on general maintenance issues raised, seeking technical advice as required and flagging up reoccurring maintenance issues
- Escalate any works which require quotes to be obtained to the Property Management Assistant
- Raise orders for works and/or goods within authorised limits
- Liaise with preferred service providers throughout the duration of the job to ensure that time lines are met and to keep the customer updated at all times.
- Ensure that any insurance claims are notified to the Head of Property Management and / or the Property Management Assistant in good time.
- Oversee the operation of all planned and reactive maintenance contracts and statutory inspections at the property.
- Update maintenance module on Qube to include managing orders, monitoring contractor performance and analysing data.
- Manages the statutory testing inspections, including fixed wire and gas safety checks to ensure these are completed within the required time frames and liaise with Property Management Assistant as required.
- Maintain accurate on site records as required and ensure all correspondence is promptly and correctly filed.
- Undertake daily building walks site inspections (including common areas) and periodic flat checks; actioning items resulting, including raising issues with the Head of Property Management and keep a suitable record.

Financial
- Responsible for the management of a petty cash fund and completion of relevant paperwork in a timely manner
- Oversee and agree overtime in line with and mindful of budgets
- To review expenditure alongside the repairs and maintenance budget on a quarterly basis and highlight any anomalies to the Head of Property Management.

Operational Planning and Management
- Ensure sufficient staff on duty to provide an effective and efficient service
- To ensure the security of the building, including maintaining records of contractors working on site, logging keys issued, monitoring of security camera's either by yourself or via your team
- As required undertake viewings/walk-ins with prospective residents
